School Secretary-BookkeeperQualifications: 1. High school diploma with secretarial training required. 2. Two (2) years of job-related experience preferred. 3. Must meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457. 4. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. Skills in office organization, time management, and problem solving. 2. Knowledge of the procedures, practices and operation of a public school. 3. Ability to perform required bookkeeping and local school accounting duties as directed. 4. Ability to use excellent business English, grammar, spelling and punctuation. 5. Ability to use technology as required to perform job responsibilities. 6. Ability to communicate clearly and concisely, both orally and in writing, including clear, polite telephone communications skills. 7. Ability to work effectively under minimal supervision. 8. Ability to exercise tact, good judgment, confidentiality and initiative in dealing with students, faculty and the public. 9. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment. 10. Comprehensive knowledge of double entry accounting and bookkeeping systems, payroll and accounts payable procedures. 11. Good knowledge of computer programs including spreadsheets, databases, word processing, and/or ledgers. 12. Ability to work well with others.Job Goal: To insure the smooth operation of the school's office through application of secretarial, bookkeeping and clerical duties and to enhance the administration of the schools business affairs by performing the bookkeeping functions needed for budgetary control, revenue, distribution of expenditures, general ledger, accounts payable and accounts receivable.Performance Responsibilities and Essential Functions: 1. Provides secretarial and bookkeeping services for the principal and other school employees as directed. 2. Maintains student records, posts standardized test scores, initiates new records for incoming students and forwards required records for transfer students. 3. Provides routine management of the school office, school fund accounts, and school records. 4. Monitors as directed office safety equipment, cameras, visitors, or incoming messages in the implementation of the school safety plan. 5. Assists in the selection, training and supervision of office assistants. 6. Publishes the daily communication/bulletin/email notices for teachers and students. 7. Forwards student transcripts to authorized colleges, universities, employment agencies, etc. 8. Processes requisitions, purchase orders, bank statements, deposits, and other accounts-related reports. 9. Attends and participates as directed in trainings, meetings, seminars, and job-related conferences. 10. Assists with the preparation of meeting materials, agendas, committee records, or school plans. 11. Attends and participates in as needed in school events, activities, and ceremonies. 12. Assists with composing and forwarding letters of recommendation for student scholarships. 13. Assumes general receptionist duties such as answering the telephone and greeting school visitors. 14. Requisitions, orders, and inventories school office supplies as directed. 15. Makes necessary computerized administrative reports related to student enrollment, attendance, discipline, payroll, fund accounts and grade reporting. 16. Assists with the handling of student insurance, fund raising activities, and ticket sales, if applicable. 17. Adheres to rules, regulations, and policies regarding the taking of leave and the reporting of absences. 18. Maintains confidentiality regarding school/workplace matters. 19. Models and maintains high ethical standards. 20. Demonstrates initiative in the performance of assigned responsibilities. 21. Maintains expertise in assigned area to fulfill project goals and objectives. 22. Participates successfully in the training programs offered to increase skill and proficiency related to assignment. 23. Keeps supervisor informed of potential problems or unusual events. 24. Responds to inquiries and concerns in a timely manner. 25. Serves on school/system committees as required or appropriate. 26. Exhibits interpersonal skills to work as an effective team member. 27. Demonstrates support for the school system and its goals and priorities. 28. Demonstrates initiative in identifying potential problems or opportunities for improvement. 29. Prepares all required reports and maintains all appropriate records. 30. Assumes other reasonable and equitable job related duties as assigned by the immediate supervisor. 31. Follows attendance, punctuality and proper dress rules. 32. Maintains a complete and systematic set of records of all financial transactions of school funds. 33. Records details of school system financial transactions. 34. Prepares financial statements, income statements, and cost reports to reflect financial condition of the school. 35. Traces errors and records adjustments to correct charges or credits posted to accounts. 36. Reconciles statements and accounts as directed.Terms of Employment: Salary and length of contract to be determined by the Board's salary schedule. Evaluation: Performance of this job will be evaluated annually in accordance with the Board's policy on evaluation of classified personnel.
