records.\nExercise exceptional judgment, confidentiality, and discretion when handling sensitive business and personal information.\nProvide occasional personal assistance to the CEO and Executive Team, including scheduling appointments, reservations, travel, errands, or other needs that help executives remain focused on business priorities.\n\nSEATTLE OFFICE OPERATIONS\n\nTake ownership of the day-to-day Seattle office experience and serve as the person employees, executives, and visitors can count on when something needs attention.\nManage relationships with building management, facilities providers, and other office vendors, including cleaning, maintenance, security, repairs, and related services.\nOversee office supplies, equipment, inventory, mail, deliveries, and courier services.\nHelp ensure the office is safe, functional, welcoming, and compliant with applicable workplace and safety requirements.\nCoordinate workspace planning and office setup for employees, new hires, executives, and visitors.\nSupport Seattle office onboarding logistics, including workstations, building access, badges, parking, and other first day needs.\nTrack office-related expenses, invoices, reimbursements, and budget items.\nServe as the primary on-site contact for facility issues, emergencies, or disruptions and coordinate with the appropriate internal and external arrangements.\nPrepare agendas and meeting materials, capture and distribute minutes when appropriate, and track action items and follow-ups.\nHelp plan and execute internal, external, and community-facing events, including the Company's annual meeting.\nEnsure virtual and in-person meetings are organized, professional, and run smoothly.\n\nRELATIONSHIPS & ENGAGEMENT\n\nBuild collaborative relationships with employees across the organization, including Home Office and remote teams.\nDevelop positive working relationships with agents, policyholders, business partners, community organizations, and other external stakeholders.\nCoordinate promotional items and branded materials, including ordering, inventory, distribution, and vendor relationships.\n\nGOVERNANCE, REGULATORY, & COMPLIANCE SUPPORT\n\nSupport the preparation, coordination, and maintenance of correspondence, reports, records, and other materials involving the CEO, Executive Leadership Team, and Board of Directors.\nAssist with administrative coordination involving regulators, insurance departments, and other external organizations as needed.\nMaintain accurate and confidential records in accordance with Company policies and applicable requirements.\nHelp ensure executive, Board, and regulatory materials are complete, organized, accurate, and delivered on time\n\nQualifications:\n\nYou don't need to come to us knowing the insurance business or having spent years as an Executive Assistant.
