Front Desk Representative

The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. Should be able to deal with complaints and give accurate information. The Front Desk Representative reports to the Director of Production Control, his/her duties and responsibilities include but are not limited to the following: RESPONSIBILITIES & DUTIES: 1. Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.) 2. Greet and welcome employees, contractors, and guests. 3. Answer questions and address complaints. 4. Answer all incoming calls and redirect them or keep messages. 5. Receive letters, packages, etc., and distribute them. 6. Prepare outgoing mail by drafting correspondence, securing parcels, etc. 7. Check, sort, and forward emails. 8. Make IDs for employees and reps. 9. Keep track of uniform records of employees. 10. Monitor office supplies and place orders when necessary. 11. Keep updated records and files. 12. Support the HR Team with clerical responsibilities SKILLS AND QUALIFICATIONS: 1. Proven experience as a front desk representative, agent, or relevant position 2. Familiarity with office machines (e.g., fax, printer, etc.) 3. Knowledge of office management and basic bookkeeping 4. Proficient in English and Spanish (oral and written) 5. Excellent knowledge of MS Office (especially Excel and Word) 6. Strong communication and people skills 7. Good organizational and multi-tasking abilities 8. Problem-solving skills 9. Customer service orientation 10. High School diploma: additional qualifications will be a plus. PHYSICAL REQUIREMENTS: 1. Exposed to high levels of noise. 2. Able to lift fifty (20) pounds without mechanical assistance. 3. Able to bend, twist, squat, and lift.
