This role is central to the daily operations of the district office and is responsible for managing administrative processes, financial transactions, customer inquiries, and office organization. The District Administrator ensures compliance with company policies, supports sales and service staff, and helps create a positive and professional office environment.\n\nKey Responsibilities:\n\nCustomer Service & Communication:\n\nAnswer incoming calls, assist customers, and ensure messages are relayed promptly to agents and sales managers.\n\nReturn phone calls and follow up on inquiries as needed.\n\nSupport agents with licensing, underwriting notifications, policyholder information, and Salesforce processes.\n\nCommunicate with Home Office regarding policy status, claims, and underwriting.\n\nPayment Processing & Balancing:\n\nProcess payments received by mail, drop box, walk-in, or phone.\n\nCollect and reconcile client payments daily through Salesforce “My Transactions Today” report.\n\nMaintain petty cash, balance daily transactions, and report out-of-balance amounts.\n\nPurchase and deposit money orders for cash collections.\n\nMonitor and clear the Administrator Deficiency Account within 24 hours.\n\nComplete weekly deposit sign-off report and submit to District Manager.\n\nConduct monthly review of money order and check transactions for accuracy.\n\nReview agent deficiency reports and provide updates to the District Manager on unresolved balances.\n\nData Entry & Document Management\n\nEnter paper applications into FDE\n\nBatch, scan, and index documents (claims, underwriting, policy administration, policy delivery receipts) into the imaging system.\n\nReview Imaging Control Reports and ensure compliance with retention policies.\n\nManage incoming email and mail: distribute, print, file, and process according to procedures.\n\nPrepare and ship outgoing mail for customers, agents, and Home Office.\n\nFollow company document retention policies, including shredding, storage, and imaging timelines.\n\nDistrict & Agent Support\n\nMaintain secure and organized district office and supply room.\n\nOrder and manage office supplies, company forms, and postage.\n\nManage Premium Receipt Books: request, print, and mail to customers or agents as needed.\n\nProvide general support to District Manager and staff, including handling reports, correspondence, and scheduling tasks as assigned.\n\nEquipment & Facilities\n\nSubmit and track service requests for office equipment.\n\nEnsure adequate supply levels are maintained through centralized ordering systems.\n\nQualifications\n\nEducation: High school diploma or equivalent required.\n\nExperience: Minimum of 1+ years of administrative, office, or customer service experience required; prior insurance or financial services experience preferred.\n\nSkills:\n\nStrong organizational, time management, and multitasking skills.\n\nExcellent verbal and written communication skills.\n\nAbility to manage financial transactions with accuracy and accountability.\n\nProficient in MS Outlook, Excel, Word, and Salesforce (preferred).\n\nStrong customer service mindset with the ability to assist both clients and internal staff.\n\nKemper is proud to be an equal opportunity employer.
