Autism Clinic Service Coordinator

Anticipated schedule is M-F 8am-4pm.BENEFITS: Comprehensive health package, PTO/PST, 12 paid holidays, 401(k), paid parental leave, and more!We're currently looking for a highly skilled, detail-oriented administrative professional who will assist AZA Operations by supporting staff and clients via a variety of administrative responsibilities and duties, including scheduling, staff and client onboarding, and general clinic operational support. The Service Coordinator's primary responsibility is to ensure smooth and optimal scheduling operations by onboarding and scheduling clients for Augmentative and Alternative Communication Services and timely processing of referrals to support a steady flow of interest for services while complying with funding source requirements.Job Duties:SchedulingAssist the assigned program leaders in maintaining optimal client enrollmentCoordinate daily changes to schedules to avoid gaps in services when clients or staff are tardy or absentCoordinate room assignments for clients and communicate them with staffKeep up-to-date appointment information in practice management systems and other databases, as neededWork with the Supervisor or Manager to monitor and optimize authorization utilizationAttend meetings to plan for scheduling, utilization, and staff or client on and off-boardingOnboardingInitiate on-boarding activities for all new clients within the assigned programMaintain regular contact with onboarding families and follow up regularly until all onboarding items are collectedPerform data entry tasks to prepare new clients to begin servicesCollaborate with Family Support, Billing, and the Clinical Teams to coordinate the start of servicesCustomer ServiceCommunicate and collaborate with clients and staff to provide high quality service coordination and resolve challenges efficiently and effectivelyParticipating in follow-up processes to ensure that families and staff are adequately supported by AZA UnitedGeneral dutiesProcess incoming referrals in accordance with organizational policies and proceduresWorking with Administrative Team, Program Team, and Outreach Team to implement and improve systems related to scheduling and high-quality staffing for client programsSupport clinical staff as needed (e.g. bring materials, bathroom break, etc.)Answer phones, provide information, route calls, take messages, etc.Coordinate clinic tours for new clients with the location's Senior Clinical SupervisorOpen and/or close the clinic depending on work scheduleBe available to assist with Clinic Front Desk duties in the absence of other staffExperience & Qualifications:GED required; College degree or equivalent relevant experience preferredMinimum of 1 year in a similar administrative roleAdministrative experience with funding sources preferred (AHCCCS, DDD, insurance, etc.)Successful experience in a role that required strong organizational skills and a high attention to detailProven ability to communicate effectively with tact and perspective across diverse populationsStrong ability to multi-task, independently plan and organize own activities to prioritize daily workloadsHigh competence in Microsoft Office products (Outlook, Teams, etc.) and EMR systemsKnowledge of autism spectrum disorders, systems of care, treatments and services, etc. preferredMust be able to successfully pass a fingerprint clearance check, and other related hiring requirementsMust have reliable transportation, valid car insurance, and registrationPerks Include:We provide a collaborative work environment focused on transparent communication, teamwork and professional growth!
