This role serves as a key point of contact for customers, insurance professionals, adjusters, and internal team members throughout the reconstruction process.\r\nThe ideal candidate will possess strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities while ensuring projects move smoothly from start to finish. This position plays a critical role in maintaining customer satisfaction, accurate documentation, and efficient project coordination.\r\nEssential Functions\r\nCustomer & Insurance Communication\r\nAnswer and route incoming calls professionally and efficiently.\r\nConduct follow-up calls with customers, adjusters, and insurance representatives.\r\nProvide project updates and respond to customer inquiries.\r\nMaintain positive relationships with customers and insurance partners.\r\nScheduling & Project Coordination\r\nSchedule appointments, inspections, and project-related meetings.\r\nCoordinate activities between customers, project managers, subcontractors, and office staff.\r\nAssist in managing project timelines and ensuring tasks are completed on schedule.\r\nTrack open items and ensure timely follow-up on outstanding issues.\r\nDocumentation & Administrative Support\r\nMaintain accurate job files, project records, and documentation.\r\nUpload, organize, and manage project-related information within company systems.\r\nAssist with data entry and record maintenance.\r\nEnsure all project documentation is complete, accurate, and up to date.\r\nCustomer Service & Team Support\r\nAssist customers throughout the reconstruction process by providing exceptional service and communication.\r\nSupport the Reconstruction team with administrative and operational tasks.\r\nMonitor project progress and proactively identify follow-up needs.\r\nCollaborate with team members to ensure efficient project completion.\r\nProvide clerical support including mailing, scanning, faxing, and copying.\r\nMaintain organized electronic and physical filing systems.\r\nEnsure accurate and up-to-date records and data entry.\r\nOther Duties\r\nPerform additional administrative and departmental support duties as assigned.\r\nSkills and Abilities/Qualifications\r\nEducation: High School Diploma or GED required; Associate degree or some college coursework preferred.\r\nExperience: Previous administrative, customer service, scheduling, or project coordination experience preferred; Experience in restoration, construction, insurance, or a related industry is a plus.\r\nTechnical Skills: Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams. Ability to learn and navigate company software and project management systems.
