Notifies office staff of visitors, appointments, or schedules appointments as appropriate.\nAnswers phone calls and routes within the assigned department as appropriate.\nResponds to inquiries regarding programs, services, or complaints and refers individuals to appropriate staff.\nAssists with mail distribution.\nOrders office and miscellaneous supplies as directed.\nCoordinates repair service for multifunction machines and vending machines as required.\nSchedules appointments, conference rooms, and vehicles or transportation, as required.\nCreates, proofs, edits, and/or formats routine correspondence, newsletter articles, etc.\nEnters, scans, updates, and maintains information in spreadsheets, databases, and reports.\nPerforms routine office clerical functions; opens and distributes office mail; files, faxes, and photocopies documents; maintains office supplies, materials, and equipment.\nReceives and processes payments, applying payment to proper account, and providing receipt of transaction when necessary.\nProvides backup assistance to other Department personnel as needed.\nOther duties as assigned.\nProvides support to the nutrition program:\nEnrolls individual in the senior dining program.\nDistributes monthly menus to ADRC partners (libraries, stores, media).\nReports meal site counts to catering service.\nOrders supplies for meal sites.\nProvides dining center staff with required information and forms.\nAssists with distribution of farmers market vouchers.\nVerifies new transportation rider eligibility and establishes accounts. Assists with coordinating transportation requests.\nPrepares, posts, distributes, and tracks computerized agenda documents, information packets and public notices. Records minutes as needed.\nAssists with creating and editing written and electronic marketing materials outlining the programs and services offered through the ADRC.\nOrganizes and maintains all resource information in a variety of formats – files, brochure racks, displays, website, computer database, printed directories, handouts, etc.\nContacts local resources to collect and update information on available resources.\nDisseminates programming information in a variety of formats such as radio, website, newspapers, print material ,and social media sites.\nMaintains and updates the ADRC website and other social media platforms in accordance with County policy. Ensures there are no accessibility barriers by people with disabilities.\nOrganizes, edits, and provides content for monthly newsletters in each county. Works with internal staff and vendor on layout and production of the newsletters.\n\nREQUIRED JOB COMPETENCIES\n\nCreativity and knowledge of design concepts for creating communication materials such as brochures, flyers, displays, etc.\nKnowledge of community resources and effective marketing strategies.\nAbility to establish and maintain accurate records of assigned activities and operations.\nAbility to interpret and implement local policies and procedures; written instructions, general correspondence; Federal, State, and local regulations.\nSkill in organizational and time management to prioritize duties to accomplish a high volume of work product while adapting to constant changes in priority.\nAbility to perform detailed work accurately and independently in compliance with stringent time limits requiring minimal direction and supervision.\nAbility to think quickly, maintain self-control, and adapt to stressful situations.\nKnowledge of current office practices and procedures and knowledge of the operation of standard office equipment and software.\nKnowledge of computer software including word processing, spreadsheet, and database applications consistent for this position.\nAbility to perform mathematical calculations required of this position.\nAbility to communicate clearly, concisely, and effectively in English in both written and verbal form.\nSkill in researching and understanding complex written materials.\nAbility to prepare and maintain accurate and concise records and reports.\nAbility to apply sound judgment and discretion in performing duties, resolving problems, and interpreting policies and regulations.\nAbility to communicate detailed and often sensitive information effectively and concisely, both orally and in writing.\nAbility to handle sensitive interpersonal situations calmly and tactfully.\nAbility to maintain professionalism at all times.\nAbility to maintain effective working relationships with individuals within and outside the organization.\n\nPHYSICAL AND WORK ENVIRONMENT\n\nThis work requires the occasional exertion of up to 25 pounds of force; work regularly requires sitting, frequently requires standing, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires walking, stooping, kneeling, crouching or crawling and reaching with hands and arms.\nWork has standard vision requirements.\nVocal communication is required for expressing or exchanging ideas by means of the spoken word.\nHearing is required to perceive information at normal spoken word levels.\nWork requires preparing and analyzing written or computer data and observing general surroundings and activities.\nWork is generally in a moderately noisy office setting.\n\nDodge County is an Equal Opportunity Employer.
