Human Resources Assistant

Job description Job Overview We are seeking a dedicated and detail-oriented Human Resources Assistant to join our team. The successful candidate will provide administrative support to our HR department, ensuring the smooth operation of our company's human resources functions. The HR Assistant will play a vital role in assisting with HR-related tasks, including recruitment, employee benefits, and compliance with employment laws. Sources potential candidates for openings through internet boards, sourcing tools, attending external networking events/job fairs and coordinates internal job fairs as needed. Using the UKG ATS (Applicant Tracking System), works with hiring managers in posting requisitions, reviews and screens potential candidates. Conducts phone screens and schedules interviews. Assists HR Manager in preparation of offers. Conducts background, drug tests, reference checks, benefits enrollments as required. Prepares new employee files and maintains existing HR/DOT files throughout employment. Utilizes the UKG ATS system to manage employee changes, as required. Coordinates new employee orientation in conjunction with Safety Coordinator. Assists with required training, including preparation, review, distribution and tracking of training materials. Communicates with the public, employees and management in a professional manner both orally and in written correspondence. Ability to speak in front of employee groups and with outside visitors Administrative duties include: filing, scanning, copying, faxing, and assembling reports. Routes incoming calls and attends to visitors and applicants. Acts as a resource for employees who have questions and/or concerns about policies, procedures and compliance issues Job Requirements: High School diploma/GED. An Associates or college degree is preferred. 2 years directly related experience in Human Resources recruiting preferred. Maintains a high level of confidentiality and discretion in dealing with confidential issues. Bilingual (Vietnamese or Spanish preferred) Intermediate computer skills with working knowledge of computer software including Microsoft Office Suite (Excel, Word, PowerPoint) and HRIS software/ applicant tracking system(s) such as UKG (preferred software). Attention to detail, is highly organized and possesses strong prioritization skills. Analytical Ability: Basic analytical ability is required. Analysis is done in accumulating and compiling data, proofreading work and selecting necessary steps to find and correct errors. Independent Judgment and Consequences of Errors: Routine work performed under general supervision or in accordance with specific procedures. Unusual situations or errors must be reported to the HR Manager immediately. Contact with others: Continuous contact with management and employees. Frequent contact with outside people and businesses calling the department.
