This role is responsible for the day-to-day front office administrative duties that support the flow of the practice.The Treatment Coordinator is responsible for guiding patients through their dental care journey - from diagnosis to treatment completion. This role focuses on case presentation, financial coordination, scheduling, and ensuring a high level of patient understanding, trust, and acceptance of recommended treatment. This person will also be responsible for the front desk activities in the office along with other areas as directed. This position plays a key role in providing excellent customer service, managing patient interactions, and ensuring efficient workflow at the front desk. Previous Dental Front Desk/Treatment Coordinating experience is required and periodontal experience is preferred!The ideal candidate will hold a friendly and professional demeanor, demonstrate excellent communication skills and compassion supporting the patient experience. Schedule appointments and maintain the appointment calendar. Answer phone calls and address inquiries or direct them to the appropriate department. Verify patient information and insurance details. Patient Communication & Case Presentation: Present treatment plans clearly and confidently to patients Educate patients on procedures, benefits, and urgency of care Answer questions and address concerns to improve case acceptance Build strong relationships and trust with patients Financial Coordination: Explain fees, insurance benefits, and out-of-pocket costs Offer and coordinate payment options (financing, payment plans, etc.) Verify insurance coverage and pre-authorizations when needed Follow up on outstanding balances and pending treatment Appointment Management: Coordinate and schedule appointments based on dentist availability. Send appointment reminders to patients. Handle appointment cancellations and rescheduling. Ensures re-care is being booked. Follows up with patients on unscheduled treatment plans. Administrative Tasks: Maintain accurate patient records and update information as needed. Handle patient registration and check-in/check-out processes. Process and verify insurance information. Collect and record payments for services rendered. Oversees and participates in collections of aged receivables. Team Collaboration: Partner with doctors and clinical team to understand treatment recommendations. Coordinate with dental assistants and other staff to ensure seamless patient care. Problem Resolution: Address patient concerns and resolve issues related to appointments, billing, or service. Collaborate with dental professionals to handle patient complaints effectively. Physical Requirements Must be able to lift up to 15-30 pounds at time. Qualifications Previous dental office experience required (2+ years preferred). Strong knowledge of dental procedures, terminology, and insurance processes. Experience with practice management software (CURVE is a plus!) Strong organizational and multitasking abilities. Excellent communication and interpersonal skills.
