This position offers the opportunity to work directly with senior leadership in a fast-paced international environment, managing executive priorities, communications, and strategic administrative functions.\nKey ResponsibilitiesExecutive Support & Calendar Management\nManage the CEO's complex calendar, including meetings, appointments, business engagements, and travel schedules.\nCoordinate domestic and international travel arrangements, itineraries, accommodations, and logistics.\nAnticipate scheduling conflicts and proactively manage priorities.\nProvide daily reminders and ensure the CEO is prepared for upcoming commitments.\nCommunication & Meeting Coordination\nServe as a key point of contact on behalf of the CEO.\nScreen and manage phone calls, emails, and executive correspondence.\nDraft, review, and distribute communications, presentations, reports, and other business documents.\nAttend meetings when required, take detailed notes, prepare meeting minutes, and track follow-up actions.\nAdministrative & Organizational Support\nMaintain highly organized physical and digital filing systems for executive documentation.\nPrepare reports, presentations, and executive-level materials.\nManage office supplies and administrative requirements for the CEO's office.\nSupport the CEO with administrative and basic financial analysis tasks when needed.\nStakeholder & Visitor Management\nWelcome and coordinate visitors, clients, executives, and business partners.\nHandle inquiries professionally and assist in resolving concerns when appropriate.\nMaintain strict confidentiality and professionalism in all interactions.\nProcess Improvement & Follow-Up\nMonitor action items, projects, and executive initiatives.\nFollow up on preventive, corrective, and continuous improvement activities to ensure successful implementation.\nSupport operational excellence initiatives and process improvements across the organization.\nCompliance & General Support\nEnsure adherence to company policies, procedures, and corporate standards.\nPerform additional duties and special projects assigned by executive leadership.\nQualifications\nBachelor's degree preferred.\n5+ years of experience supporting C-level executives, ideally within multinational corporations.\nExcellent verbal and written communication skills in English and Spanish.\nAdvanced proficiency in Microsoft Office Suite, particularly Outlook, PowerPoint, Excel, and Word.\nStrong organizational, planning, and multitasking abilities.\nExperience handling confidential and sensitive information.\nAbility to work independently while managing multiple priorities in a dynamic environment.\nExceptional attention to detail and follow-through.\nCompensation & Benefits\nBase Salary: USD $65,000 annually.\nHealth Insurance Reimbursement: Up to 50% reimbursement of the employee's monthly personal health insurance premium.\n401(k) Retirement Plan: Eligibility after one year of employment, including a company contribution equivalent to 3% of annual base salary.\nPaid Time Off:\n5 vacation days annually after completing one full year of employment.\n5 sick days per year (non-cumulative).
