The Office Coordinator is a highly visible position that will manage the front desk, handle a variety of administrative tasks, and ensure the smooth operation of our office. This is an onsite, full-time opportunity, reporting directly to the Director, People Operations. The set work schedule is Monday through Friday, 8:30am to 5:30pm.\nBenefits:\nCompetitive benefits including, medical, dental & vision. Generous PTO and 401(k) with an employer match.\nDuties & Responsibilities:\nGreet and assist visitors, ensuring they have a positive experience.\nCoordinate guest spaces for on-site visitors.\nManage incoming and outgoing mail, packages, and deliveries. This includes the distribution of mail to internal and external individuals.\nMaintain office supplies, cafeteria supplies and all inventory. Place orders as needed.\nCoordinate, order, and distribute approved lunch orders for events, meetings, visiting employees, etc.\nManage conference room schedules and coordinate meeting locations as requested.\nAct as a member of the Events Committee, including hosting monthly birthday celebrations.\nAct as a member of the Safety Committee. Complete daily safety walkthroughs, maintain buddy system and EAP.\nAnswer phone calls to the main line and handle them accordingly.\nManage the reception and internal events inboxes.\nMaintain an updated seating chart/building floorplan.\nPrepare and distribute internal communications if requested.\nRun errands offsite as needed (ink cartridge drop off, post-office, etc.).\nAd-hoc tasks as assigned.\nRequirements:\nProven experience as an Office Administrator, Administrative Assistant, or similar role.\nFamiliarity with basic HR functions and practices is a plus.\nExcellent organizational and time management skills.\nProficient in using office software and equipment (e.g., Microsoft 365).\nStrong attention to detail and accuracy.\nOutstanding communication and interpersonal skills.\nAbility to prioritize tasks and work under pressure.\nDiscretion when handling confidential information.\nAbility to sit at a computer terminal for an extended period.\nWhile performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard.\nAbility to handle repetitive tasks.\nSpecific vision abilities required by this job include close vision requirements due to computer work.\nMust have a valid driver’s license to run errands offsite.\nRegular, predictable attendance is required.\nThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
