This includes support for community leadership activities, committee work, FIST (Forever Improving Steuben Together) youth philanthropy, nonprofit leadership development, community convenings, records, materials, and follow-up.The Program Associate also serves as a welcoming first point of contact for visitors and callers and may provide limited administrative support for grantmaking, scholarship, or other program activities as assigned and as workload allows.Essential Functions:Primary Community Leadership SupportProvide primary administrative, logistical, and program support to the Director of Community Leadership.Support community leadership activities, including convenings, committee work, nonprofit leadership development, FIST/youth philanthropy, partner meetings, and related initiatives.Assist with scheduling, meeting preparation, materials, records, files, data entry, follow-up, and documentation related to community leadership work.Support Community Leadership Committee preparation, materials, minutes or notes, records, and follow-up as assigned.Help keep community leadership work organized, timely, well-documented, and aligned with SCCF procedures and priorities..Reception and Front-Facing SupportServe as a welcoming first point of contact for visitors, callers, and general inquiries.Direct visitors, callers, donors, students, nonprofit representatives, and community members to the appropriate staff person for assistance.Help maintain a welcoming front-facing environment by checking public-facing areas before community leadership activities, meetings, or convenings.Notify the Operations and Donor Services Manager of hospitality, supply, or office readiness needs.Assist with basic hospitality needs for community leadership activities as assigned by the Director of Community Leadership and coordinated with the Operations and Donor Services Manager.Coordinate with the Operations and Donor Services Manager, who maintains primary responsibility for office management, facilities coordination, supplies, meeting room readiness, and overall hospitality standards.Assigned Program Support Provide limited administrative support for grantmaking, scholarship, or other program activities as assigned and as community leadership workload allows.Assist with records, materials, communications, data entry, meeting preparation, and other administrative tasks related to assigned program support. Work with the Grants and Scholarships Manager on assigned grantmaking or scholarship tasks, while remaining under the direct supervision of the Director of Community Leadership.Coordinate with the Vice President of Programs when workload, timing, or priorities need to be clarified across program areas.Additional Functions:Attend occasional early morning, evening, or weekend meetings, programs, trainings, community activities, or Foundation events as needed.Support Foundation events, committee meetings, community convenings, donor activities, and other programs as assigned and appropriate to the position.Assist with materials, follow-up, hospitality, documentation, and event-related support connected to assigned programs or activities.Participate in staff meetings, planning sessions, trainings, and other internal or external meetings as assigned.Represent the Foundation professionally when participating in meetings, programs, events, or community activities.Provide limited administrative support for grantmaking, scholarship, or other program activities as assigned and as community leadership workload allows.Work with the Grants and Scholarships Manager on assigned grantmaking or scholarship tasks, while remaining under the direct supervision of the Director of Community Leadership.Coordinate with the Vice President of Programs when workload, timing, or priorities need to be clarified across program areas.Physical Demands and Working Conditions:Ability to sit for extended period of time. Able to be mobile throughout office and community.Dexterity of hands and fingers to operate a scanner, computer keyboard, mouse, and to handle other computer components.Ability to see and speak clearly in order to perform basic job functions.Ability to read, write, and type in order to perform basic job functions.Ability to work with and around others, up to 2/3 of work period.Ability to lift or push a minimum of 20 pounds.Required Knowledge, Skills, Abilities and/or Competencies:Interpersonal skills necessary to effectively communicate with donors, grantees, and community members.Self-motivated and directed, with keen attention to detail.Serves as a role model in displaying initiative and assertiveness with positive problem-solving techniques and willingly performs non-assigned duties as needed.Strong organizational skills and attention to detail.Excellent verbal, written, and interpersonal communication skills.Professional, welcoming, and service-oriented approach.Ability to manage multiple tasks, deadlines, and priorities.Ability to work independently while contributing to a team environment.Ability to maintain confidentiality and use sound judgment.Comfort using Microsoft Office, email, shared document systems, databases, and cloud-based systems.Interest in philanthropy, nonprofit work, youth engagement, and community improvement.Required Education and Experience: Associate’s degree, bachelor’s degree, or equivalent combination of education and relevant experience preferred.Experience in nonprofit, administrative support, customer service, education, youth programming, office support, or related work preferred.Experience working with volunteers, students, families, committees, or community partners preferred.Steuben County Community Foundation reserves the right to modify, interpret or apply this job description as appropriate in its business judgment. This job description does not mean that these are the only job duties, including essential duties, to be performed, by the employees occupying this position. Employees will be required to perform any other functions or duties assigned to them by management.
