Job DescriptionAdministrative Assistant FranUBaton Rouge, LaThe Administrative Assistant performs a variety of administrative functions; Schedules appointments, gives information to callers, and takes minutes; Composes memos, transcribes notes, and researches and creates presentations; Generates reports, handles multiple projects, and prepares and verifies invoices and Expense Reports; may assist with compiling and developing the Annual Budget; This position relies on guidance and some experience and judgment to complete job and works under general supervision. #CBResponsibilitiesJOB STANDARDSMission Alignment Actively engages the Catholic and Franciscan mission and identity of Franciscan Missionaries of Our Lady University by modeling the Franciscan values, honoring the legacy of the founding congregation, promoting justice for the communities we serve, and integrating the Catholic and Franciscan intellectual traditions in programs, courses and services Project Assistance Assists in organizing and participates in special projects and events (i.e., ceremonies, school assemblies, faculty/department workshops) to ensure mission alignment and successful outcomesDocument and Data Management Manages documents and data files systemically, ensuring accuracy, confidentiality, and compliance with organizational standardsBuilding/Office Functions Answers phone professionally, receives shipments, places work orders for building issues, answers door, unlocks buildingsFile Management Coordinates and organizes meetings as needed, prepares agendas, notifies members, attends meetings, and records minutesDocument Composition Composes memos and other documents with clarity and professionalism, adhering to the organization's standard for communicationCalendar Management Accurately schedules appointments, ensuring all relevant parties are informed and schedules are updated promptlyCollaborates with faculty and administrators to reserve meeting/class/spaceAdministrative Support Provides administrative support to the Program Director/Faculty/DepartmentProfessional Development Continuously seeks opportunities for professional growth and development, staying informed about industryOther Duties as Assigned Perform other duties, as assigned or requestedQualificationsEXPERIENCEFour (4) years in a professional office settingEDUCATIONHigh School Diploma or equivalentTRAININGProficient in Microsoft Office applicationsSPECIAL SKILLSExcellent customer service, communication and organizational skills
