Working closely with the Selections Manager, Project Managers, vendors, and trade partners, you will ensure that all selections are clearly documented, accurately quoted, approved, ordered and delivered on time to support a smooth and efficient build process.This role requires strong comfort with technology, documentation systems, and managing detailed information across multiple active projects.Key ResponsibilitiesSelections Coordination & ExecutionCoordinate the execution of selections established by the Selections ManagerRequest, track, and organize vendor quotes for all selection itemsConfirm product specifications, lead times, and availabilityIdentify long-lead items and elevate risks earlyPrepare and send selection documents to clients for review and approvalFollow up on outstanding approvals to keep projects moving forwardKeep projects aligned with schedule through timely execution of selectionsSupport overall project organization through strong follow-through and attention to detailProcurement & OrderingPrepare and place orders for all approved selectionsTrack order status, deliveries, and lead timesProactively manage backorders, delays, and substitutionsCommunicate order updates clearly to the internal teamCoordinate with Project Managers to schedule timely deliveries to job sitesSystems & Field SupportUtilize project management software (JobTread) to manage selections, documentation, and communicationEnsure all selections are clearly recorded, approved, and aligned with project scope and budgetUpload and organize digital project records and supporting documents (quotes, spec sheets, approvals, invoices) across multiple projectsEnsure all digital project information is accurate, easily accessible, and up to dateProvide paper copies of information as needed for site useAssist in maintaining selection schedules and deadlinesEnsure all required documentation is complete prior to orderingAssist with scanning and documenting existing conditions in the field as neededTeam & Vendor CoordinationCommunicate selection details to Project Managers, trade partners, and vendorsConfirm selections specifications with Project ManagersCoordinate showroom visits and sample requests as neededQualificationsExperience in coordination, project support, procurement, showroom sales, or a related field preferredStrong organizational skills and high attention to detailAbility to manage multiple active items and follow through consistentlyStrong communication skills with team members, vendors, and clientsGeneral familiarity with residential finish materials (helpful but not required)Strong comfort with technology and digital systems (JobTread experience a plus)Ability to learn and use field documentation tools (e.g., scanning or measuring technology)Proficient with spreadsheets, email, and ability to learn new softwareSelf-directed, dependable, and proactivePersonal QualitiesOrganized and detail-oriented without losing sight of the bigger pictureCalm and solutions-oriented when plans shiftStrong follow-throughkeeps things moving without needing constant directionCollaborative and team-orientedTakes pride in accuracy, communication, and doing things the right waySalary & BenefitsFull-time, W-2 EmployeePaid Time Off: 2 weeks to start; additional 5 days PTO after 2 yearsPaid Holidays: New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving + Friday after, Christmas Day, and half-day Christmas Eve (when applicable)Retirement: SIMPLE IRA with 3% company match (after 90 days)Health Insurance: Employee premium covered up to $500/monthLife, Short- & Long-Term Disability Insurance: Provided at no cost to employeeDental & Vision Insurance: Provided at no cost to employeeOngoing training and continuing education opportunitiesCompany truck to be used for work purposes only.Discretionary, performance-based bonusesWhy Work With UsThis is a challenging and rewarding role.
