Valley Glass Company is known for personalized service that supports clients from initial consultation through final installation.Role Description The Administrative Assistant role at Valley Glass Company is a full-time, on-site position based in Walnut Creek, CA. This role is responsible for answering and directing incoming calls, greeting visitors, and providing professional, courteous customer service to homeowners, contractors, and designers. Daily tasks include scheduling appointments, coordinating service calls and installations, maintaining calendars, and supporting the office team with document preparation, data entry, and filing. The Administrative Assistant will handle order intake, update job records, process invoices, and assist with basic bookkeeping or recordkeeping as needed. This role also supports leadership with general administrative tasks to keep the office organized, efficient, and responsive to customer needs.QualificationsStrong Administrative Assistance and Clerical Skills, including scheduling, data entry, document organization, and file management.Professional Phone Etiquette and Communication skills to interact effectively with customers, vendors, and team members.Experience providing Executive Administrative Assistance or support to managers, supervisors, or business owners.Comfort with basic office software (e.g., email, spreadsheets, word processing) and the ability to learn industry-specific systems.Attention to detail, strong organizational habits, and the ability to manage multiple tasks and priorities in a fast-paced environment.Customer service mindset, reliability, and a collaborative approach to working with a small team.Prior experience in a trades, construction, glass, or service-focused environment is a plus.High school diploma or equivalent required; additional training or coursework in business or office administration is beneficial.
