You’ll play a central part in delivering impactful events—from concept to cleanup—serving as the logistical engine behind everything from executive visits and symposia to student programs and celebratory events. Your role is essential in delivering high-level operations support to faculty and students whether that’s granting access to the building for students to study, maintaining email distribution lists so students receive appropriate and timely information, or proactively working with faculty to submit expense reports, you keep the wheels turning and moving the department forward!If you’re someone who enjoys rolling up your sleeves, solving problems in real time, and seeing a successful event come together because of your work, we’d love to meet you.What You’ll DoEvent Planning & Hands-On Execution (35%)You’ll own the full lifecycle of department events, with a strong emphasis on execution and physical coordination:Plan and coordinate events including lectures, recruiting events, advisory board meetings, symposia, and student programsActively set up and break down event spaces, including arranging tables, seating, signage, and materialsCoordinate and move event supplies, materials, and equipment as neededOversee on-site logistics, troubleshoot issues in real time, and ensure seamless executionPartner with vendors and catering, manage deliveries, and ensure everything is in place before start timeCoordinate volunteers/student workers during events and direct activities on-siteSupport guest speakers with travel, itineraries, and hospitality coordination This role requires frequent movement, standing, lifting, and active engagement during events.Office & Operational Coordination (55%)Serve as the front-facing hub for the department, supporting faculty, students, and visitorsManage scheduling, communications, purchasing, and travel logisticsCoordinate conference room scheduling and shared spacesMaintain office operations, supplies, and recordsSupport faculty searches and department initiativesWhat Makes You a Great FitYou enjoy hands-on work and being actively involved in event execution—not just planningYou’re energized by fast-paced environments with shifting prioritiesYou’re a natural problem solver who can think on your feetYou take pride in delivering high-quality events and experiencesYou’re equally comfortable coordinating behind the scenes and leading on-site logisticsPhysical & Work Environment ExpectationsThis role includes a meaningful physical component as part of event delivery:Frequent standing and walking during eventsSetting up rooms, moving materials, and coordinating physical logisticsOccasional lifting/carrying of event supplies (generally light to moderate weight)Flexibility to work occasional evenings or weekends to support eventsWhy Mines?At Colorado School of Mines, you’ll join a collaborative academic community known for innovation and impact. (TRANSCRIPTS MUST BE ATTACHED FOR EDUCATIONAL CREDIT.)Preferred QualificaitonsProficiency with spreadsheet and word processing software (i.e. Word and Excel). Daily interaction with students, staff and faculty require this position to possess strong interpersonal and customer service skills and the ability to establish rapport with people of diverse backgrounds. Must have excellent organizational skills with the ability to prioritize tasks, make decisions independently and provide on-the-spot answers to administrative questions that arise.
