In this role, you will be responsible for supporting our mental health programs while managing key office responsibilities. This is a great opportunity for someone who can work independently and with minimal oversight, while making a meaningful impact in a dynamic work environment.\nKey Responsibilities:Program Support:\nClient Intake and Onboarding:\nManage the intake process for new clients, ensuring all necessary information is collected and tracked.\nFollow up with clients to ensure successful onboarding and timely completion of paperwork.\nCollaborate with the team to ensure smooth client onboarding experiences.\nClient Support and Retention:\nFollow up on missed appointments, reschedule as needed, and address client concerns.\nWork closely with therapists and clients to resolve scheduling conflicts and ensure high-quality services.\nMaintain regular communication with clients to ensure their needs are being met and they are satisfied with services.\nTherapist Support:\nAssist with new therapist interviews and make hiring recommendations.\nProvide follow-up calls to newly hired therapists, ensuring they are settling in and receiving the necessary resources and support.\nAssist therapists with any conflicts or issues and provide the resources they need to succeed.\nCollaboration and Communication:\nCollaborate with staff, volunteers, and external partners to ensure seamless service delivery.\nReport any intake or onboarding issues to the team and the Support Team Manager.\nOffice Responsibilities:\nAdministrative Support:\nAnswer phones, respond to emails, and assist with general office inquiries.\nMaintain office supplies, ensuring the office is stocked and organized.\nHelp schedule meetings and manage calendars for team members.\nFiling and Documentation:\nOrganize and maintain client records, both physical and digital, ensuring confidentiality and HIPAA compliance.\nAssist in preparing documents, reports, and presentations as needed.\nCustomer Service:\nGreet clients and visitors, ensuring a welcoming and professional office atmosphere.\nHandle client requests and direct them to the appropriate staff members.\nSkills and Qualifications:\nStrong Organizational and Time Management Skills: Ability to handle multiple tasks efficiently and prioritize responsibilities.\nExcellent Communication Skills: Strong verbal and written communication skills for interacting with clients, therapists, and team members.\nCustomer Service Experience: Experience providing customer service, especially in a mental health or office environment.\nTech-Savvy: Competence in using office software, client management systems, and communication tools.\nAttention to Detail: Capable of handling administrative tasks accurately and efficiently.\nAbility to Work Independently: Demonstrates initiative and works proactively with minimal supervision.\nCompliance with HIPAA: Must adhere to HIPAA regulations and maintain confidentiality.\nTeam Player: Ability to work well with staff, volunteers, and external partners.\nReports to: Support Team Manager\nThis position is perfect for someone who is self-driven, organized, and enjoys the balance of office management and program coordination.
