The Client Transitions Associate plays a central role in ensuring these moments are handled with clarity, precision, empathy, and forward momentum. This role is for someone who takes pride in doing hard operational work exceptionally well, while never losing sight of the human experience behind it.\n\nThe Client Transitions Associate plays a key role in supporting the successful execution of the firm’s centralized client transition programs across Pathstone, including onboarding, offboarding, and deceased client transitions, while helping ensure operational readiness throughout each engagement.\n\nAs a member of the centralized Client Transitions team, this individual partners closely with Client Advisors and internal business partners to deliver a coordinated, efficient, and exceptional client transition experience across every stage of the client lifecycle.\n\nThis role offers broad exposure to client transition project management, operational execution, reporting readiness, data governance, workflow optimization, and process improvement. The Associate will help ensure transitions are executed accurately and efficiently while identifying opportunities to improve scalability through technology, automation, data analytics, and AI.\n\nKey Responsibilities:\n\nSupport the end-to-end execution of client transitions, including onboarding, offboarding, and deceased client engagements.\n\nCoordinate activities across Client Advisory and internal business partners to maintain project momentum and ensure timely completion of transition milestones.\n\nTrack project milestones, dependencies, risks, and outstanding action items across multiple client transitions.\n\nPrepare, maintain, and organize transition documentation and project records.\n\nEscalate risks, issues, or delays that could impact transition timelines or the client experience.\n\nGather, organize, validate, and maintain client and account information across multiple systems and platforms.\n\nPerform quality assurance reviews to ensure documentation is complete, accurate, and compliant with firm standards.\n\nMaintain data integrity throughout the client transition lifecycle.\n\nSupport reporting readiness activities, including data validation, reconciliation, and quality assurance.\n\nMaintain operational dashboards, trackers, and reporting tools used to monitor client transition activity, team capacity, service levels, and operational performance.\n\nAnalyze operational data to identify trends, bottlenecks, risks, and opportunities for process improvement.\n\nPrepare ad hoc reports and perform data analysis to support operational decision-making and continuous improvement initiatives.\n\nIdentify opportunities to streamline workflows through process improvements, automation, and technology.\n\nUtilize AI tools, including Microsoft Copilot and other approved technologies, to improve productivity, documentation, research, and operational efficiency.\n\nContribute to initiatives that improve scalability, standardization, documentation, and knowledge management across the Client Transitions function.\n\nBuild collaborative relationships with Client Advisors and internal partners, including Reporting, Billing, Compliance, Capital Markets, Professional Services, and other operational teams.\n\nCommunicate professionally with internal stakeholders regarding project status, dependencies, risks, and outstanding action items.\n\nContribute to a culture of accountability, operational excellence, collaboration, innovation, and continuous improvement.\n\nQualifications:\n\nBachelor’s degree required.\n\n1–3 years of experience in financial services, operations, project coordination, consulting, analytics, or another client-focused environment preferred.\n\nStrong organizational and project management skills with the ability to manage multiple priorities in a fast-paced environment.\n\nExcellent written and verbal communication skills.\n\nDemonstrated attention to detail, sound judgment, and commitment to delivering high-quality work.\n\nStrong analytical, critical thinking, and problem-solving abilities.\n\nProficiency in Microsoft Excel and the Microsoft 365 suite of applications.\n\nExperience leveraging AI productivity tools, such as Microsoft Copilot or ChatGPT, to improve efficiency and workflow is a plus.\n\nComfortable learning new technologies, adapting to evolving business processes, and embracing continuous change.\n\nAbility to work independently while collaborating effectively across cross-functional teams.\n\nThe ideal candidate is intellectually curious, highly organized, analytical, and thrives in a collaborative, fast-paced environment. The actual base compensation selected for this role will be set based on a variety of factors, including (but not limited to) experience, education, specialty and training.
