This role focuses on ensuring day-to-day program operations are implemented effectively, on time, and in compliance with funder requirements, while supporting progress toward performance, fiscal, and contractual outcomes across multiple funding streams.\n\nReporting to the Career Advancement Director, the Program Coordinator works in a cross-functional capacity, coordinating closely with internal teams, contractors, and partners to support aligned grant delivery. The position is designed to be adaptable and responsive to shifting funding priorities and may support multiple workforce initiatives concurrently as grants are awarded, expanded, or concluded.\n\nRequirements:\n\nImplementation & Coordination of Workforce Training Programs\n\nManage day-to-day coordination of an assigned portfolio of workforce development grants, ensuring activities are implemented in alignment with approved scopes, timelines, and performance requirements.\nDevelop, maintain, and monitor project work plans across multiple grants to support timely and compliant program delivery.\nSupport the Career Advancement Director with grant-level oversight by tracking progress, identifying risks, and escalating issues as needed.\nCoordinate internal and external efforts related to outreach, enrollment, and participant flow to support grant performance targets.\nWork closely with Business Services, Programs, Communications, Finance, and Data teams to ensure aligned implementation and integrated service delivery across the portfolio.\nCoordinate with Business Services staff to support employer engagement and participant placement activities tied to grant objectives (including internships, OJTs, apprenticeships, and related work-based learning models).\nAdjust workload, priorities, and focus areas as grant portfolios shift, expand, or conclude, ensuring continuity of operations and compliance across funding streams.\n\nContract Management & Budget Support\n\nSupport contract oversight for assigned grants, including coordination with Finance on budget tracking, allowable costs, and payment timelines.\nMonitor grant budgets regularly to ensure expenditures remain aligned with approved budgets and funder expectations.\nDraft and revise scopes of work and support contract development, execution, and amendment processes.\nReview contractor invoices to ensure programmatic accuracy, eligibility, documentation completeness, and alignment with contract terms.\nMonitor contractor performance and deliverables and flag compliance or performance concerns for timely resolution.\nProactively escalate issues related to fiscal risk, contractor performance, or compliance to the Career Advancement Director.\n\nPerformance & Data Monitoring\n\nTrack portfolio-level performance metrics and progress toward grant outcomes using approved data systems and internal tracking tools.\nProduce accurate monthly and ad hoc performance reports for internal management and external funders.\nVerify participant eligibility and ensure required documentation is complete, accurate, and audit ready.\nConduct quality assurance activities, including file reviews, data validation, and coordination of corrective action plans.\nCoordinate with Data and Compliance staff to support monitoring preparation, desk reviews, site visits, and audits across assigned grants.\nFollow up on monitoring findings to ensure timely resolution and documented corrective actions.\n\nTechnical Assistance & Support to Providers\n\nServe as the primary operational point of contact for contractors and partner staff within the assigned grant portfolio.\nProvide guidance, training, and clarification to providers regarding grant requirements, reporting expectations, and service delivery standards.\nConvene and facilitate portfolio-level provider meetings to support alignment, compliance, and continuous improvement.\nDevelop and distribute tools, resources, and training materials to promote consistent and compliant program implementation.\nSupport issue resolution related to participant complaints, service delivery challenges, and customer service concerns in coordination with internal leadership.\n\nOther Duties\n\nProvide backup support to the Career Advancement Director as needed, including operational follow-up and coordination.\nMaintain current knowledge of applicable federal, state, and local workforce regulations governing assigned grants.\nBuild and maintain effective working relationships with providers, employers, and community partners to support recruitment and service delivery goals.\nOrganize or support internal and external meetings, hiring events, monitoring visits, and partner convenings tied to assigned grants.\nSupport case management or participant-facing operations during peak demand periods or as needed to ensure continuity of services.\n\nSUPERVISON/ MANAGEMENT RESPONSIBILITY: None\n\nEqual Employment Opportunity\n\nCapital Workforce Partners is an equal opportunity employer.
