Program Assistant, School of Continuing and Professional Studies
The School of Continuing and Professional Studies at the University of Virginia seeks a Program Assistant. The Program Assistant will provide program coordination, conference and event support, administrative and operational support, data tracking, strategic outreach and stakeholder engagement, and more. This role will require a flexible work schedule, with occasional evenings or weekend work, based on event schedules.ResponsibilitiesProgram Coordination & Delivery SupportAssist in the planning, coordination, and execution of executive education and professional development programs (e.g., NCJCC cohorts, executive seminars, and specialized trainings)Support program logistics including scheduling, materials preparation, participant communications, and on-site coordinationCoordinate with faculty, instructors, and external partners to ensure smooth program deliveryProvide in-person support for residencies, convenings, and events as neededData Tracking & Program EvaluationTrack program participation, enrollment trends, and completion data across executive programsAssist in collecting and organizing participant feedback and program evaluation metricsSupport development of reports and dashboards to inform program improvement and decision-makingMaintain accurate records of program activities and outcomesStrategic Outreach & Stakeholder EngagementAssist with implementation of CPSJ’s strategic outreach planTrack conferences, events, and engagement opportunitiesSupport preparation of briefing materials, presentations, and follow-up communicationsMaintain stakeholder engagement records and assist with outreach coordinationConference & Event SupportCoordinate logistics for conferences, workshops, and CPSJ-hosted eventsTrack registration timelines, submissions, and participationSupport booth coordination, materials preparation, and on-site executionTechnical Training & Non-Academic Program SupportAssist in coordinating non-credit trainings, technical assistance, and external presentationsSupport communications and logistics with partner agencies and organizationsResearch & Project SupportTrack research funding opportunities (e.g., DOJ, DHS, foundations)Assist with proposal development, documentation, and submission logisticsSupport project coordination, partner communication, and deliverable trackingAdministrative & Operational SupportAssist with business operations aligned with University processes (finance, HR, contracts, procurement)Support program documentation, reporting, and compliance requirementsProvide general administrative support across CPSJ initiatives as needed Minimum QualificationsEducation: Bachelor's degreePreferred QualificationsExperience with public safety and event managementPhysical DemandsThis is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.Salary will be commensurate with education and experience.This is a non-exempt-level, benefited position.
