Administrative Assistant (New York)
Our client, a prominent midtown investment firm, is seeking a TEMP Administrative Assistant to the CEO & CFO Office. This individual will predominantly focus on supporting the Executive Assistants to the CEO & CFO. The ideal candidate will be highly organized, proactive, flexible and detail oriented. This temp assignment will be about 2-3 months depending on the need of the firm.Job DetailsCOMPANY: Investment ManagementPOSITION: TEMP Administrative Assistant to CEO & CFO OfficeLOCATION: Midtown, New York – fully onsiteHOURS: 9:00am – 5:00pmSALARY: $30-$45 an hour depending on experienceResponsibilitiesProvide support to the CEO's and CFO's EA's- work closely with EA to support CEO & CFO together, EA to pass on tasks when needed and/or work together on events, special occasions, etc.Personal tasks- order/pickup coffee/drinks, breakfast/lunch when the CEO & CFO is in the officeManage CEO's conference room- provide drinks/refreshments to guests and preparing and tidying up the area before and after each meetingExpense management- collect receipts, process invoices, and submit all expense reimbursement requests through ConcurProvide backup support to EA's as neededContact management- adding & updating personal/business contacts in databaseShipment management- send FedEx/USPS/UPS packages & tracking delivery progress.Update daily guest list check- input outside guests into security systemQualificationsExperience: 3-5 years of experience in an administrative assistant role (preferably out of finance or hospitality)Education: Bachelor's degree preferredLanguage: Proficient in speaking Spanish and/or French and basic written skills preferredOrganizational skills: Prioritizes effectively and manages multiple tasks seamlessly, with strong attention to detailConfidentiality: High level of discretionInterpersonal skills: Warm, personable, loyalty, focus
