Other responsibilities include medical staff office operations, board of directors’ governance, and provider credentialing services.\nExecutive Assistant\nResponsible for managing all facets of executive schedule, including commitments to internal and external organizations, to ensure optimal use of time including but not limited to:\nSchedule set up and schedule adherence\nArranges appointments for executive(s) with internal and external personnel\nPreparation of materials, presentations, communications, and technology\nCoordinating venue, facilities, and other accommodations\nEnsuring executives are in the right place, at the right time, with the right materials and information, and are briefed on the purpose and intentions of all meetings prior to meeting times and may include preparing executive summaries.\nResponsible for ensuring the accurate and on-time execution of secretarial and administrative duties including transcription, file and document management, call screening, third party requests, processing outgoing mail,\nMakes necessary arrangements for administrative meetings, attends and takes minutes; distributing meeting minutes and related material to appropriate individuals; completes follow-up on actions taken at meetings.\nCompiles, stores, and retrieves management data and creates reports as needed.\nResponsible for making and managing all travel details to ensure travel runs according to plan, meets quality standards, and is error free.\nIn absence of executives(s), effectively uses available resources to make minor administrative decisions. Prioritizes communications and correspondence for executive(s).\nAssists other leadership team members as needed.\nCoordination and preparation of Board agendas, packets and taking meeting minutes, and other Board duties as assigned.\nGovernance – administers the Board self-evaluation process\nAssists COO with employee/direct report timecards.\nQUALIFICATIONS:\nMust possess proven oral and written communication skills.\nProficiency in the use of Microsoft Word, Excel, Outlook, and PowerPoint to produce correspondence and documents and maintain presentations, record, spreadsheets and database\nMaintains an effective working relationship with internal and external customers.\nKnowledge and experience in information privacy laws, access, release of information and release control activities.\nHigh moral and ethical character.\nIndependent, objective, detail-oriented, and analytical.\nEDUCATION: Minimum of Associates Degree, preferably in a healthcare-related field. Bachelor’s degree preferred.\nEXPERIENCE: Three to five years administrative secretary/administrative assistant experience required.
