Cart Lead and Retail Manager

You’ll be the face of Actual Coffee at events — managing relationships, running the coffee cart, and helping grow a program that’s just getting started. If you’re organized, confident with people, and take initiative without being asked, keep reading.What You’ll DoLead Catering & Coffee Cart EventsManage events from start to finish: scheduling, prep, setup, prepare beverages, and teardownOperate the coffee cart and deliver a consistent, high-quality experience every timeTransport and return all equipment and ensure everything is reset for the next eventOwn Customer CommunicationRespond to catering inquiries and guide clients through the booking processManage and respond to hello@actualcoffee.com, including general inquiriesKeep communication timely, clear, and professional at every touchpointSupport In-Roastery Customer ExperienceGreet and assist customers visiting the roasteryGuide guests through coffee selections and help complete purchasesRepresent Actual Coffee in a welcoming, knowledgeable, and approachable wayGrow the Catering ProgramConvert inquiries into booked eventsTrack all inquiries, quotes, bookings, and outcomesIdentify where leads come from and flag patterns and opportunitiesDo proactive outreach to venues, wedding planners, and corporate partners to grow the pipelineHandle Logistics, Systems & InventoryCoordinate event scheduling and logistics detailsManage event inventory and supplies (with support from the team)Maintain and improve systems: packing checklists, event prep workflows, inventory trackingKeep the cart and all equipment event-ready at all timesCapture Event ContentTake quick iPhone photos and videos during eventsCapture setup, drinks, and guest momentsUpload content to a shared folder for the marketing teamSupport Wholesale Partner DemosRepresent Actual Coffee at grocery account sampling events and retail pop-upsPrepare and serve samples to drive product trial and build brand awareness at retail locationsEngage customers confidently, answer questions about our coffee, and support sales at the shelfCoordinate demo logistics with retail partners and report back on outcomesSchedule & Expectations10–15 hours/week for admin, communication, and event prepCore hours are Monday–Friday, 9 AM–4 PM on a consistent weekly scheduleAdditional hours based on booked eventsWeekend availability required when events are scheduled, including SaturdaysSchedule is flexible — reliability and consistency are non-negotiableWhat We’re Looking ForStrong communication and customer service skillsHighly organized and detail-orientedComfortable working independently and taking ownership of outcomesAble to manage multiple responsibilities without losing track of the detailsReliable, punctual, and professionalBonus (Not Required)Coffee or barista experienceEvent, hospitality, or service industry backgroundSales or client-facing experienceWe’ll train the right person on coffee.
