Administrative Assistant and Development Coordinator

The administrative assistant and development coordinator for the NYYS will play an essential role in the organization. They will be responsible for engaging with various private and public foundations, trustees, and donors who support the programming of the Grammy Award-winning New York Youth Symphony. This role will require excellent communication, interpersonal skills, and attention to detail in a public-facing position.  The ideal candidate will be motivated and able to work independently and understand the vital role of consistent communication in an organization. They will have some experience with customer service and the ability to learn new technologies and database systems quickly. An appreciation of classical music is welcome but not required. While our offices are in New York, the NYYS maintains hybrid office hours. In general, most staff are in the office Tuesday through Thursday, with remote work on Friday and Monday. Due to our work, some evenings and weekends will be required, and schedules can be adjusted during concert and audition weeks. NYYS observes a summer schedule of Fridays off between the July 4th holiday and Labor Day and the administrative offices are closed the week between Christmas and New Years.  Support day to day fundraising activities for the NYYS including  Record and manage gifts  Acknowledgement letters  Assist in the preparation of grant applications and other fundraising proposals; manage grant deadlines and grant portals Assist with the annual benefit, including  Event planning, check in, registration and post event communications  Track donor benefits, including Carnegie Hall boxes and Give/Get Maintain current records in development CRM Serve as the board liaison, which includes taking notes at meetings, assembling the board packet, and ensuring proper communication before and after each meeting of the trustees.  Administrative support  Maintain administrative and artistic staff meetings, including scheduling and notetaking Desired Skills The ability to think quicky and problem solve Positive customer service and people skills, including the ability to manage and engage with a large board, artistic staff and donors.  Microsoft office suite Database and CRM management  Compensation  $53,000-55K plus benefits. NYYS offers health benefits to all full-time staff after 30 days of employment. PTO, personal days and sick leave are available, as well as the previously outlined remote work schedule. A 403B plan is available for employee contribution immediately with employer 5% per pay period contribution after 2 years. Professional development opportunities will also be available depending on budget conditions.
