Operations And Accounting Assistant

Job Title: Operations and Accounting AssistantJob DescriptionWe are seeking a highly motivated Operations and Accounting Assistant to support our team in managing all aspects of the company's operations and accounting. This is a hands-on role in a small, project-based construction environment, offering exposure to full-cycle accounting, job costing, and financial reporting.Responsibilities+ Assist with maintaining the general ledger, journal entries, and account reconciliations.+ Support month-end and year-end close processes.+ Maintain accurate and timely financial records.+ Track and analyze project costs using Deltek.+ Assist with job cost reports and ensure accurate allocation of expenses.+ Work closely with project managers to monitor job performance and cost variances.+ Prepare monthly financial statements and management reports.+ Support variance analysis and provide insights to leadership.+ Assist with budgeting, forecasting, and cash flow planning.+ Process vendor invoices and support timely payments.+ Assist with customer billing and collections.+ Monitor receivables and follow up on outstanding balances.+ Assist with payroll processing and related reporting.+ Maintain payroll records and coordinate with benefits providers.+ Ensure compliance with applicable payroll regulations.+ Ensure compliance with federal, state, and local requirements.+ Support external CPA for tax preparation and year-end reporting.+ Assist with audits and financial reviews.+ Perform bank and credit card reconciliations.+ Monitor cash flow and maintain appropriate balances.+ Utilize and maintain Deltek accounting and project management software.+ Identify and implement process improvements and internal controls.+ Support system optimization and reporting improvements.+ Provide general support to the leadership team.+ Contribute to all tasks needed in a small company environment.Essential Skills+ Degree in Accounting, Finance, or related field (open to students).+ Understanding of job costing and percentage-of-completion accounting.+ Proficiency in Microsoft Excel and/or Numbers.+ Solid knowledge of GAAP.+ Strong attention to detail and accuracy.+ Ability to work independently and manage multiple priorities.+ Analytical and problem-solving skills.+ Strong communication and interpersonal skills.+ High level of integrity and confidentiality.Additional Skills & Qualifications+ Experience with Accounts Payable and Accounts Receivable.+ Experience in reconciliation and invoicing.+ Interest in working for a small, growing company.+ Willingness to assist beyond standard scope of work.+ Ability to be trained and adapt quickly to accounting and finance skills.Work EnvironmentWe are a growing athletic field construction company specializing in building high-quality sports surfaces for schools, municipalities, and private organizations.
