You will operate as a trusted advisor and right hand, managing day-to-day operational flow, ensuring the executive is focused on the highest-value activities. This is a hybrid position based in O'Fallon, MO, requiring three days per week onsite.\r\nRole:Manage and optimize complex executive calendars, meetings, and travel (domestic and international), including logistics, itineraries, and visa coordination.\r\nServe as a strategic gatekeeper and liaison, managing internal and external communications with senior leaders, clients, and partners.\r\nAnticipate executive needs by preparing briefs, presentations, reports, and high-level correspondence.\r\nCoordinate and support operational planning, leadership meetings, and strategy reviews in partnership with leadership and/or Chief of Staff.\r\nPrepare agendas, capture key outcomes, and drive follow-ups to ensure accountability on priorities and deliverables.\r\nPlan and execute events, including leadership offsites and internal/external meetings, managing vendors, venues, and logistics.\r\nOversee expense management, budget tracking, purchasing, and reconciliation in compliance with company policies.\r\nMaintain and manage tools, systems, and processes (e.g., expense platforms, access management, collaboration tools), ensuring efficiency and compliance.\r\nMonitor and track projects, programs, and engagements through spreadsheets or systems to support business operations.\r\nSupport onboarding of new team members and provide coordination across day-to-day team operations.\r\nIdentify and implement process improvements to enhance workflow efficiency and executive effectiveness.\r\nMaintain the highest level of confidentiality, professionalism, and executive presence at all times.\r\nAll About You:Significant experience supporting C-level or SVP-level executives in fast-paced, complex, and highly matrixed organizations.\r\nOutstanding written and verbal communication skills, with experience drafting executive communications, presentations, and briefing materials.\r\nHigh level of discretion and professionalism in handling confidential and sensitive matters.\r\nExpert calendar and priority management skills, with the ability to anticipate needs and navigate competing demands.\r\nProven experience coordinating cross-functional initiatives and partnering effectively with senior stakeholders.\r\nStrong business acumen with exposure to operations, strategy, or corporate functions.\r\nAdvanced proficiency in Google Workspace or Microsoft 365 (including Outlook, PowerPoint, Excel, Teams), along with collaboration tools such as Copilot and Zoom.\r\nExperience organizing executive travel (domestic and international), leadership meetings, board materials, and large-scale events.\r\nFinancial coordination experience including expense management, budget tracking, and vendor oversight.\r\nAbility to thrive in ambiguous environments, exercise sound judgment, and represent leadership with professionalism and executive presence.\r\nBachelor's degree in Business Administration, Operations, Communications, or a related field, is desired.
