Job Description DISCLAIMER: This is a temporary assignment that ends on June 30thPosition SummaryWe are seeking an Office Assistant II to provide reception, clerical, and mailroom support in a busy office environment. This role is responsible for handling a high volume of phone calls, supporting front-desk operations, and performing a wide range of administrative tasks. Assigned duties may vary and other duties may be assigned.Reception / Clerical ResponsibilitiesRespond to a heavy volume of phone calls, transferring calls to appropriate staff and answering general questionsGreet clients, families, and visitors; check in and verify appointments, ensuring visitors connect with the appropriate staffSchedule appointments with clients, related parties, and internal staffReserve rooms for meetings and conferences; maintain department calendars for staffPerform a variety of clerical and support tasks, including filing, scanning, copying, preparing written correspondence, and communicating with clients, families, service providers, and outside agenciesType, input, and maintain documents, client information, and related data in computer databases, software, and tracking systemsPrepare reports and documents by collecting and collating information; set up and maintain paper and electronic filing systemsMaintain, stock, and inventory office supplies as assignedPerform other related duties as requiredMailroom, Scanning, and Filing ResponsibilitiesProcess incoming and outgoing USPS, UPS, FedEx, interoffice mail, faxes, and documentsRun outgoing mail through postage machine; package materials for shippingService and maintain office equipment (paper jams, toner replacement, etc.)Copy, file, retrieve, and scan documents; research files on the computer as neededMaintain files through purging and archiving documents and ensure documents are filed appropriatelyMake copies and packets, distribute documents, and prepare materials for mailingCoordinate boxes for off-site storage, as applicablePerform other related duties as required and assignedEducation & ExperienceHigh school diploma or general education degree (GED), or equivalent combination of education and experience requiredMinimum of two (2) years of related experience working in an office environmentSkills and AbilitiesProficient in Microsoft Office and related applicationsKnowledge of general office functions and customer service skillsAbility to operate a computer and enter data accuratelyAbility to speak and write in an organized and effective manner with excellent grammarDetail-oriented with the ability to multi-taskBilingual Spanish may be required depending on the positionEssential RequirementsValid California Driver's License and reliable transportation, or acceptable substitute, required
