Responsibilities Independence Physician Management (IPM), a subsidiary of UHS, was formed in 2012 as the physician services unit of UHS. IPM develops and manages multi-specialty physician networks and urgent care clinics which align with UHS acute care facilities. Our leadership team, practitioners, and teams of healthcare professionals are collectively dedicated to improving the health and wellness of people in the communities we serve.To learn more about IPM visit Physician Services - Independence Physician Management - UHS.Position Overview:The Executive Assistant provides primary administrative and organizational support to the Divisional Vice President (Acute Care) and VP of Physician Operations.Key Responsibilities include:Manage calendaring, contact lists, appointments, and all related materials for scheduled appointments.Conduct follow-up for all business meetings with minimal direction.Exercise judgment in managing workload for VP's appointments.Prepare and/or review travel itineraries, arrangements for air, ground, and hotel accommodations.Complete associated expense reports, purchase authorizations, memos, and associated correspondence.Coordinate meetings and Conference calls.Prepare agenda, takes minutes, maintain distribution lists, and disseminate materials.Compose and prepare correspondence, respond to routine calls and correspondence, and perform other administrative and clerical functions.Review contracts and signature documents for spelling and grammatical issues.Proficient in planning and meeting deadlines in a timely manner.Conduct literature searches and reviews, as necessary. Electronically catalog articles for reference.Maintain and catalogue electronic materials on shared computer drives for easy access and distribution. Qualifications Associate's Degree/Technical School Certificate required. Bachelor's Degree preferred.5 or more years years as an Office Administrator, Administrative Assistant, Executive Assistant, or comparable experience.Professional demeanor to maintain good public relations with vendors, internal, and external customers.Detail-oriented, ability to multi-task with excellent organizational, computer and writing skills.Confident, a team player and able to assume increased responsibility.Pro-active and anticipatory in daily work.Proficient in Microsoft Office, particularly Excel and PowerPoint is required.
