This role encompasses a variety of responsibilities depending on the specific department being supported. As part of the project management or account management team, the Project Coordinator plays a key role in handling project-related tasks, ensuring timely completion, and maintaining accurate records.\nThis position requires a proactive and highly organized individual who can efficiently manage multiple priorities and adapt to the varying needs of different departments.\nWhat you'll do\nAdministrative Support:\nManage job entries in project management systems such as Foundation, or Rippling.\nAssist with purchase orders, contracts, change orders, and other critical project documentation.\nMonitor cost entry and address discrepancies in invoicing to ensure proper financial management of projects. Ensure proper invoice track to clients in house to direct customers.\nConduct follow-ups on accounts receivable, ensuring timely collections of past-due invoices.\nSupport cross-team communications and coordination, including scheduling meetings and sending key updates.\nProject Coordination:\nSubmit timecards, coordinate site access, and manage job-related certifications such as COIs and electrical permits.\nAssist with the initiation of new projects, including organizing job numbers, tracking budgets, defining scope of work and maintaining timelines.\nPrepare and maintain accurate and timely invoice process for each project.\nEnsure accurate documentation for project close-out, tracking project milestones and completion dates.\nOperational Support:\nHandle operational tasks like processing purchase orders, researching cost issues, tracking vendor purchase order progress, and allocating internal and external expenses to the correct jobs.\nCollaborate with foremen and field staff to ensure project updates and requirements are communicated clearly and efficiently.\nAudit project data regularly to ensure it is current and compliant with company policies and financial goals. Assist field teams with access to resources and adherence to CSE safety policies.\nClient and Internal Team Interaction:\nAct as a liaison between internal teams and clients, providing timely updates and responding to inquiries.\nPrepare reports and data summaries for project reviews, highlighting key progress points and outstanding issues.\nWork closely with the Project Manager and field staff to support daily operations and long-term project goals.\nQualifications\nRequired Skills, Experience, and Education\nHigh School Diploma or equivalent required\nAt least 2 years of experience in an administrative or project coordination role, preferably within construction, electrical services, or related industries.\nOrganizational Skills: Ability to manage multiple priorities and stay organized in a fast-paced environment.\nCommunication: Excellent written and verbal communication skills, able to interact with internal teams, clients, and external partners professionally.\nAttention to Detail: Ensures data accuracy and thoroughness in documentation, reporting, and project tasks.\nProactive Approach: Takes initiative to anticipate needs and solve problems before they arise.\nCollaboration: Works well within teams, offering support and maintaining effective communication across departments.\nPreferred Skills and Abilities\nFamiliarity with project management software (e.g., Scoro, Foundation) and Microsoft Office Suite (Excel, Word, Outlook).\nStrong financial and organizational skills, with the ability to track budgets, expenses, and timecards.\nAssociate’s or Bachelor’s degree in Business, Project Management, or a related field preferred.\nWinning Behaviors and Competencies\nReal-time Communication is key to success: We will communicate real-time to our team members and clients.\nKnowing our projects is key to success: Preplanning and continuous planning habits lead to success.
