Student Employment Specialist, Human Resources

Job DescriptionThe Specialist of Student Employment and Federal Work-Study serves as the primary operational expert responsible for executing student employment and Federal Work-Study processes. This role manages high-volume hiring and onboarding activities, maintains accurate records, and supports students, supervisors, and community partners through consistent and reliable service delivery.Through these responsibilities, the Specialist contributes to a positive and meaningful employment experience for students and supervisors by ensuring processes are efficient, accessible, and responsive to stakeholder needs. This is an onsite position.Responsibilities:Operational Execution and Transaction ManagementProcess student employment transactions, including requisitions, hiring, onboarding, and assignment managementCoordinate completion of onboarding requirements, including scheduling and tracking of I-9 verification and new hire documentationManage Federal Work-Study operational activities, including routine timecard processing and monitoring of fund utilizationMaintain accurate records and ensure timely completion of required documentationWorkflow and Service DeliveryServe as the primary point of contact for students, supervisors, and community partners regarding student employment processesProvide guidance on established procedures, timelines, and system workflowsMonitor workflow queues and prioritize tasks to meet operational deadlinesSupport resolution of routine operational issuesProgram Support and CoordinationMaintain student employment communications, reference materials, and documentationCoordinate logistics for student employment programs, training sessions, and eventsTrack and report operational data to support program monitoring and decision-makingEscalate compliance concerns, operational risks, or workload constraints to the Manager in a timely mannerUse recurring issues, stakeholder feedback, and data trends to identify process improvement opportunities and recommend enhancements to workflows, communications, or service deliveryRequired QualificationsBachelor's degree in Human Resources, Business Administration, Higher Education, or a related field2–4 years of experience in student employment, financial aid, human resources, or a related administrative functionExperience supporting hiring, onboarding, payroll, or financial transactions within enterprise systems (e.g., Oracle, PeopleSoft, Kuali, or similar platforms)Knowledge of or experience with Federal Work-Study (FWS) program requirements or compliance in a higher education settingDemonstrated ability to interpret and apply policies, procedures, and regulatory guidance (e.g., FWS or employment eligibility documentation)Strong attention to detail and ability to manage data, documentation, and time-sensitive transactions accuratelyAbility to manage multiple priorities, meet deadlines, and maintain productivity in a high-volume, compliance-driven environmentEffective communication and customer service skills, with the ability to work both independently and collaboratively with diverse stakeholdersPreferred QualificationsDirect experience administering Federal Work-Study or similar funding programs, including tracking and reporting expendituresFamiliarity with onboarding and I-9 compliance processes and federal employment eligibility requirementsExperience developing or maintaining communications, training materials, or reference documentationExperience coordinating programs, events, or training sessions in a higher education environmentExperience managing high-volume workflows or transaction processingBU Benefits and PerksPlease check out Butler's Total Rewards website to learn more about our benefit offerings, which include:Paid Time Off and Holidays:20 days of paid time off (vacation and PTO days) per Fiscal year8 Paid HolidaysIn addition, a paid Winter Break between Christmas Eve and New Year's DayPaid Parental Leave (after 1 year of full-time employment)Health:Comprehensive medical, dental, and vision plans including disability and life insurance programsRetirement:10% employer contribution after 1 year of full-time employmentTuition Assistance:Remission of tuition for classes taken at Butler for employees, spouses, and dependent children.Eligibility after 9 months of full-time employmentEmployees & spouses- undergraduate/graduate degreesDependents (under age 26)- undergraduate degreeCovers tuition onlyTuition Exchange Program for Dependents at participating institutionsButler Facilities Access, Discounts and Perks:Access to Butler's on-site fitness facility and libraries for full-time staff and facultyLinkedIn Learning CoursesFree premium subscription to the Calm AppFree subscription to the WSJ, The Economist, and NYTDiscount at the College BookstoreDiscount on select Athletic and Arts/Events Center PerformancesAbout UsButler University is a private, nationally recognized comprehensive university encompassing seven colleges: Arts, Business, Communication, Education, Liberal Arts & Sciences, Pharmacy & Health Sciences and Founder's College.
