Location: LATAMSchedule: Part-Time (20hours/week) (with potential to grow into Full-Time)Time Zone: CentralAbout the Company and RoleThe client is a growth-focused marketing and operations partner working with construction and enterprise-level clients on high-value projects ranging from $500K to $100M+.We are seeking a Part-Time AI-Forward Construction Admin & Operations Support Specialist to assist with day-to-day operations across our construction portfolio. This is a part-time role with strong potential to grow into a full-time position based on performance and fit. It combines financial budget management, RFP submission, vendor relations, outreach execution, and heavy strategic support, with a strong emphasis on leveraging AI tools to improve efficiency.The ideal candidate is highly organized, proactive, strategic, and comfortable running construction workflows while comprehending complex data and supporting structured processes.Key ResponsibilitiesManage financial budgets across active construction projects, including cost tracking, vendor invoices, change orders, and reconciliationPrepare, format, and submit RFPs (Request for Proposals) and bid responsesExecute email marketing campaigns to prospects, clients, and referral partnersManage LinkedIn outreach, connection requests, and follow-up sequencesHandle phone outreach, cold calls, warm follow-ups, and appointment settingCoordinate scheduling across project teams, vendors, and clientsManage vendor relations: sourcing, onboarding, communication, and ongoing coordinationResearch and run permits (city, county, and trade-specific) through application and approvalConduct research on prospects, competitors, vendors, materials, and market dataProvide heavy strategic support on project planning, prioritization, and operational decision-makingLeverage AI tools (ChatGPT, Claude, etc.) to streamline workflows, draft communications, and analyze dataOrganize internal documentation, project files, and reportingMust-Have QualificationsDirect experience working in or supporting the construction industry (general contracting, subcontracting, real estate development, or related operations)Hands-on experience with LinkedIn for outreach, prospecting, and relationship building (Sales Navigator a plus)Highly proactive: anticipates needs, takes initiative, and moves work forward without being askedOver-communicator: provides frequent, clear status updates and never leaves teammates guessing on progress, blockers, or next stepsStrong organizational and administrative skillsStrong key comprehension of data, including the ability to read, interpret, and act on financial and operational reportsStrategic thinker who can connect day-to-day execution to bigger-picture goalsExperience managing financial budgets, ideally in construction or a related operations environmentHigh level of attention to detail, especially with budgets and submissionsStrong written and verbal English communicationComfortable on the phone with vendors, clients, and municipal officesProficient with AI tools (ChatGPT, Claude, etc.)Ability to work independently in a remote environmentNice-to-Have QualificationsFamiliarity with RFP preparation and bid submissionsFamiliarity with permit research and municipal processesExperience with email marketing platformsFamiliarity with CRM systems or project management tools (Airtable, Monday, etc.)Background in vendor management or cost tracking
