Administrative Team Lead - Behavioral Health Clinic

Job Outline – Administration Lead Serves as the leading point of contact for a full-service mental health clinic by operating a telephone system, scheduling appointments, developing a strong client experience strategy, leads with integrity and efficiency. This role supports daily front-office operations while maintaining a professional, trauma-informed, and confidential environment aligned with organizational and regulatory standards. They will be responsible for developing, implementing, and managing employee performance guidelines and KPIs for the 2026 calendar year, and onward. Essential Job Duties: Answer incoming calls and schedule appointments for new and existing clients Greets all clients, staff, volunteers, and visitors in a courteous and professional manor ensuring a welcoming and respectful environment where all are welcome. Provides administrative and clerical support as assigned, including but not limited to data entry, document preparation, report generation, filing, and record maintenance. Track, record, and aid in recovery of client copays and payments Supports daily administrative workflows for efficient clinic operations Leads multiple team members conducting consistent performance reviews and coaching to meet desired KPI driven performance outcomes Maintains strict confidentiality of client, personnel, and organizational information in compliance with HIPAA, privacy regulations, and organizational policies. Leadership, Accountability & Performance Support: Models’ professionalism, reliability, and adherence to organizational policies and procedures. Participate in regular and/or weekly check-ins with supervisory leadership to review individual responsibilities, operational priorities, and applicable performance metrics (KPIs), as assigned. Will assist with training, onboarding, and day-to-day support of new and existing administrative staff / volunteers as directed. Maintains accountability for assigned duties and supports a culture of ownership, consistency, and service excellence within the administrative team. Compliance & Documentation: Follows all applicable federal, state, and organizational regulations related to mental health, healthcare operations, workplace safety, and confidentiality. Maintains accurate, timely, and organized administrative documentation in accordance with organizational standards. Completes required training to remain compliant with role expectations, including HIPAA, safety, and trauma-informed care practices. Job Requirements: Associate’s degree or equivalent experience and education. At least 2 years Leadership or executive assistant experience (Healthcare Setting Preferred) Ability to put people at ease and handle difficult interactions when necessary. Ability to multi-task. Basic computer skills, Office Suite required. Publisher and/or Canva preferred. Ability to effectively present information and respond to questions Ability to independently complete tasks with limited supervision. Ability to interact with clients with sensitivity and responsiveness to cultural and socioeconomic characteristics in the service population. Environment: Majority of work is in a typical office environment. Position is a front desk position in an open area near the front door and accessible to employees, donors, clients and the public. Environment at times may be noisy and require receptionists to deal with emotional challenged people.
