Executive Administrative Assistant

The Executive Administrative Assistant will provide high-level administrative support to the C-level suite and other senior staff. This is a hybrid position in St. Paul, MN. You must be located in the St. Paul, MN area. This position is NOT remote. While no day will be completely the same, you will execute daily responsibilities in these various functions: Calendar Management: Proactively manage and organize the executive team's calendars, including scheduling meetings, appointments, and travel arrangements. Prioritize and coordinate conflicting commitments efficiently. Communication: Act as a primary point of contact between the executives and internal/external stakeholders. Draft, proofread, and edit emails, memos, reports, and other documents as needed. Prepare reporting for Board of Directors Travel Coordination: Arrange and coordinate complex domestic and international travel itineraries, accommodations, and logistics. Prepare travel expense reports in a timely manner. Meeting Preparation: Prepare agendas, presentations, and materials for executive meetings. Attend meetings, take accurate minutes, and distribute them to relevant parties. Information Management: Maintain confidential files and records for the executive team. Organize and categorize documents, reports, and data for easy retrieval. Office Management: Ensure a well-maintained and efficient office environment in regards to office supplies, equipment, and vendors Coordinate with building management for office-related needs. Event Coordination: Assist and direct planning and organizing company events, meetings, and conferences. Ensure coordination of catering, A/V, and logistics for various events. Special Projects: Assist with special projects and initiatives as assigned by the executive team. Conduct research, compile data, and generate reports for decision-making purposes. Qualifications: Exceptional organizational and time management skills Proficiency in Google Suite and other office software Strong written and verbal communication skills Discretion and the ability to handle confidential information with professionalism Excellent attention to detail and accuracy Adaptability and the ability to work in a fast-paced startup environment High level of professionalism and interpersonal skills Education & Experience: Proven experience as an Executive Administrative Assistant or in a similar role in a start-up or high growth company.
