Provide administrative, office, organizational, and program assistance to the Executive Director to oversee all internal and external operations at Helping Link. Discretion with confidential matters and the ability to manage multiple tasks and priorities are essential. The ideal candidate will play a collaborative role in developing and implementing systems that increase the effectiveness and efficiency of our work and support our ability to grow and expand our impact.\nHelping Link provides classes in the evenings from 4:00-8:00 for our working students. Staff operating hours are anytime between 11am and 8:30pm, Monday thru Friday. Candidates have flexibility to work within the operating hours depending on volunteer availability. This is an in-person position with a limited amount of remote work, based in Seattle, WA.\nMajor Responsibilities and Duties:\nAssist Executive Director in the following areas:\nProgram Support:\nAssist in coordinating quarterly ESL, Citizenship, and Computer/iPad classes, including scheduling, registration, instructor support, and online education portals\nAssist in coordinating Information & Referral Services\nAssist in coordinating community outreach for Helping Link programs using social media, publications, earned media, and by contacting churches, temples, and partner organizations\nVolunteer and Administrative Support:\nSupport volunteer recruitment & retention activities as needed, including volunteer placement and onboarding\nAdministrate financial tasks such as tracking reimbursements\nSupport Board of Directors on administrative duties such as coordinating meetings\nAssist communication efforts with the public and attend community meetings as needed\nDevelopment and Grant Management:\nAssist in the development of the annual budget and the strategic plan\nAssist in coordinating the fundraising plan, including the annual gala\nAssist in coordinating the grant funding process, including application, submission, and reporting for grant funding\nCommunications and Marketing:\nAssist in communications and marketing strategy, including quarterly newsletter, Website, and social media\nQualifications:\n3+ years of work experience with administration, office management and program/project coordination\nProven ability to work with efficiency, flexibility, and good humor\nDemonstrated ability to build and maintain relationships with a wide array of people\nExcellent verbal and written communication and interpersonal skills\nStrong commitment to Helping Link’s mission and values\nOutstanding organizational skills\nAbility to operate Microsoft Word, Excel, and PowerPoint\nPreferences:\nExperience in the nonprofit sector\nExperience with volunteer management\nFamiliarity with English Language Learner programs\nFamiliarity with the Vietnamese community\nKnowledge of community service system navigation\nSome college or a bachelor’s degree\nCompensation:\nThis is a full-time exempt position.\nThe annual salary range for this position is $62,000-$67,000 depending on experience\nBenefits: medical and dental coverage, accrued vacation and sick days, ten paid holidays, and professional development opportunities.\nHelping Link is an equal opportunity employer.
