The role helpsdrive company growth by handling contract administration, invoicing, and subcontractormanagement, alongside RFI/RFP response coordination, recruiting, and marketing activities.This dual role has insight into a broad range of business activities and works closely with clientmanagers, business development staff, subcontractors, and public agency clients to supportoperational efficiency in a deadline-driven consulting environment.Essential Duties and ResponsibilitiesClient Support / Contract AdministrationSupport Senior Contract Administrator by maintaining the Company project and contractmanagement systems, including project setup, contract data, billing structures, staff records, insurance documentation, and timekeeping support.Assist with monitoring contract funding, capacity, expiration dates, task order requirementsand compliance obligations.Maintain contract and project documentation in accordance with company procedures, document control standards, and client requirements.Assist with coordinating subcontractor agreements, onboarding, insurance compliance,vendor documentation, badging requirements, diversity reporting, and related compliance activities.Manage invoicing, accounts receivable support, and the collection and review oftimesheets, expenses, subcontractor invoices, and supporting documentation to ensurecompliance with contract billing requirements.Coordinate client-specific onboarding requirements for new hires and transfers, includingsecurity clearances, training certifications, badging, etc. Provide training and support tostaff related to timekeeping systems, expense reporting, administrative procedures, andproposal support processes.Support cross-functional administrative, operational, and process improvement initiativesas assigned.Marketing CoordinationSupport the Proposal Manager by coordinating RFIs and supporting preparation ofRFPs, SOQs, prequalification packages, and other business development submissions.Review solicitation requirements, submission checklists, and compliance criteria toensure adherence to client, agency, and prime contractor requirements.Prepare and quality-check compliance documents and other proposal materials toensure consistency with company branding and standards.Maintain client portal registrations and reporting platforms.Convert resumes to CMS format, or client-required format.
