Marketing & Business Development Coordinator Full-Time Exempt Irvine, CA, US Salary: $70,000 – $90,000 Annually Location: Irvine, CA Type: Full-Time Department: Marketing Role Overview We are seeking a Marketing & Business Development Coordinator to own the proposal production process and support business development initiatives at MVE + Partners. This role is the operational engine behind our pursuit efforts including managing RFP/RFQ/SOQ responses from kickoff to submission, coordinating across principals and project teams, and maintaining the systems that keep our BD pipeline moving. You will work directly with the Director of Marketing & Strategy and collaborate with firm leadership, architects, and project managers to produce high-quality, deadline-driven deliverables that win work. Key Responsibilities Proposals & Business Development Own end-to-end proposal workflow: track deadlines, coordinate kickoffs, manage content, and drive submissions Prepare and assemble RFP, RFQ, and SOQ responses; customize content based on pursuit strategy Follow up with principals and project managers to gather project information, resumes, and imagery Track pursuit opportunities and maintain an up-to-date BD pipeline Support interview preparation including presentation materials and leave-behinds Research prospective clients and market context to tailor proposals to client-specific priorities CRM & Systems Management Maintain and update CRM database with current project, contact, and pursuit information Manage proposal content library including project descriptions, resumes, boilerplate, and photography Identify process inefficiencies in proposal workflow and recommend improvements Communications & Quality Control Support consistent application of MVE's brand identity across marketing and communication materials Assist in quality control review of proposals and marketing deliverables Apply storytelling techniques to strengthen proposal narratives and marketing content Maintain clear internal communications between marketing, principals, PMs, and BD team Marketing Support Assist with award research, submissions, and deadline tracking Support social media, website updates, and email campaigns as capacity allows Support firm events, career fairs, conferences, and trade shows as needed Qualifications Required Bachelor's degree in Marketing, Communications, Business Administration, or related field 2-4 years of marketing or business development experience Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) and Microsoft Office Exceptional organizational skills with ability to manage multiple concurrent deadlines Strong writing, editing, and proofreading skills Preferred Experience in the A/E/C industry Experience with CRM systems and proposal management platforms Comfortable following up persistently and professionally with senior staff What This Role Offers Hands-on role with exposure to all aspects of A/E/C business development and marketing Direct collaboration with architects, principals, and firm leadership Fast-paced, deadline-driven environment with visibility across the full pursuit process Equal Opportunity Employer MVE + Partners is an Equal Opportunity Employer and employment selection decisions are based on merit, qualifications, and abilities.
