Incumbent must be self-motivated and able to perform duties independently with little to no supervision on a regular basis. The incumbent is also expected to\nexercise a high degree of independent judgement an initiative in determining the approach/action to take in non-routine situations that may arise. Additionally, the Incumbent is required to possess the following specialized knowledge, skills, and abilities:\n\nCommunication, Attention to Detail, Time Management, Inter-Personal, Adaptability, Flexibility, Problem Solving, Planning and Organization.\nEquipment used will include general office machines including but not limited to desktop computer, phone, and 10-key as well as two-way radio, personal computer, fax machine, postage machine, copier, and printers.\nMust be proficiently skilled with working knowledge of SAP, including but not limited to (Plant Maintenance: IW31-Work Order, IW21- Notification, IW42, IK11, IK12, IK17, KB2IN; Material Management: MIGO, MB52, MB21, ZL01269). Knowledge of Microsoft Office software is required.\n\nAN IDEAL CANDIDATE SHOULD POSSESS THE FOLLOWING COMPETENCIES:\nAccepting Direction: The ability to be open and willing to follow guidance or instructions.\nManaging Resources: The ability to manage financial, physical, and contractual resources to ensure compliance and maximize business value.\nThinking Critically: The ability to analyze information objectively, identify connections across sources, and form logical, well supported conclusions.\nMinimum Qualifications\nThree years of experience in administrative services.\n\nEXPERIENCE SUBSTITUTION:\nEvery 15 semester hours earned from an accredited college or university will be credited as six months of experience.\nJob Specification\nThe official job specifications for this role, as defined by the State Civil Service, can be found here.\nJob Duties and Other Information\nJob Duties:\n\nManaged SAP/LaGOV maintenance operations by creating and updating work orders, processing MIGO/IW21/IW31 transactions, tracking equipment repairs, auditing inventory, analyzing maintenance data, and ensuring accurate documentation, reporting, and cost allocation for shop operations.\nCoordinated parts procurement and inventory management by ordering approximately $500K annually in replacement parts for more than 800 vehicles and equipment assets, maintaining warehouse inventory, processing requisitions, researching contracts, and ensuring timely parts availability.\nPerformed quality control and vendor coordination by inspecting incoming parts, verifying invoices and contract compliance, resolving discrepancies with vendors and warehouse personnel, and collaborating with supervisors and mechanics to support efficient maintenance operations.\n\nPosition-Specific Details:\n\nAppointment Type: This position may be filled by probation, promotion or detail to special duty.\nCompensation: The starting hourly rate for an Administrative Coordinator 4 is $15.76.\n\nHow To Apply:\nNo Civil Service test score is required in order to be considered for this vacancy.\nApplicants are responsible for checking the status of their application to determine where they are in the recruitment process.
