POSITION SUMMARY:
The Project Coordinator provides advanced administrative, technical, and operational support for heavy civil construction projects, including roadway, highway, and underground utility work. This position requires a deep understanding of construction processes, documentation, permitting, and coordination with field operations. The Project Coordinator plays a critical role in maintaining project compliance, schedule support, cost tracking, and communication from project startup through closeout.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Independently support multiple heavy civil construction projects from preconstruction through closeout
Serve as a primary coordination point between Project Managers, Project Engineers, field supervision, subcontractors, suppliers, and agencies
Manage all project submittals, logs, and documentation using Access and other project tracking systems
Ensure Bluestake (811) requests are accurate, current, and properly coordinated for field operations and subcontractors
Oversee and support accurate field timekeeping, quantity tracking, and material receiver processing
Track plan revisions, addenda, and critical project dates; distribute updated plans and specifications
Maintain highly organized project files and archived project correspondence
Draft, track, distribute, and follow up on CORs and RFIs
Perform detailed quantity takeoffs for planning, procurement, change orders, force accounts, and cost reconciliation
Coordinate subcontractor, supplier, and material scheduling in support of project timelines
Track, compile, and distribute weekly Quality Control (QC) and compliance reports
Prepare, submit, and track agency permits and regulatory requirements, including MCAQD Dust Permits
Submit EPA Notices of Intent (NOIs) at project startup and Notices of Termination (NOTs) at project completion
Complete applications for hydrant meters, backflow assemblies, and required testing
Draft purchase order contracts and manage material submittals
Coordinate plan scanning, reproduction, and distribution
Compile time-and-material documentation with supporting backup for force account billings
Assist with plan comparisons, takeoffs, and cost true-ups in Access
Proactively identify documentation gaps, scheduling risks, and process improvements
Perform other duties as assigned by supervisor
REQUIRED SKILLS AND ABILITIES:
Exceptional organizational skills with a high level of attention to detail
Proven ability to manage complex, fast-paced project workloads with minimal supervision
Strong working knowledge of heavy civil construction means, methods, and sequencing
Excellent written and verbal communication skills with field personnel, management, subcontractors, and agencies
Advanced proficiency in Microsoft Office Suite, including Excel and Access
Strong problem-solving skills and sound professional judgment
Dependable team player who can also work independently
EDUCATION AND EXPERIENCE:
Associate degree in Business, Accounting, Construction Management, or related field required; Bachelor’s degree preferred
Minimum of 2+ years of experience in the construction industry
Strong experience with Microsoft Word, Excel, Access, and related programs
Proven organizational and problem-solving skills
PHYSICAL REQUIREMENTS:
Prolonged periods of sitting and working at a computer
Ability to lift up to 15 pounds as needed
