Summary: Facilitate smooth patient flow within the clinic by efficiently managing patient registration, appointment scheduling, and accurate medical record maintenance. Ensure timely and precise submission of billing information and reports, while providing excellent customer service to patients and visitors.
Major Responsibilities:Quickly register patients and collect accurate information for medical records.
Schedule appointments for initial visits, follow-ups, and procedures, ensuring proper allocation of provider time.
Update and maintain new patient information and medical records.
Handle incoming calls to determine appropriate appointment types and providers.
Collect payments including co-pays and deductibles, document receipts, and prepare daily cash reports.
Order and schedule outside tests as requested by providers.
Enter ICD-10 and CPT-4 codes for patient activities and procedures into the data system daily.
Transcribe non-medical dictation and submit billing invoices to the billing department under supervision.
File, fax, and mail reports and records; compile and submit monthly reports promptly.
Assist in tracking supply inventory and notify supervisors when reordering is needed.
Serve as receptionist by greeting patients, directing visitors, and answering phones in a courteous manner.
Support non-invasive medical procedures or act as a security observer when required.
Provide emergency message direction and assist administrative/medical staff as needed.
Education:High school diploma or equivalent required. Business-related coursework is preferred.
Experience:1-2 years of clerical experience, preferably in a medical office or a role involving significant public contact.
Skills and Abilities:Familiarity with medical terminology.
Proficient PC skills preferred.
Typing speed of 45-55 words per minute with accuracy.
Strong tact and ability to handle patients under stress.
Good organizational and planning skills.
Effective verbal communication and listening skills.
Knowledge of ICD-10 and CPT-4 coding for Part B billables is preferred.
Physical Requirements:Ability to see and read printed data and monitor screens, manual dexterity, visual and auditory acuity, verbal communication skills, and ability to lift, stoop, bend, kneel, and reach.
