When processing accounting data, the assistant will complete various tasks & report to the Controller to ensure accounts are payable and job costs are accurate and up to date.Essential Functions: Reasonable accommodation may be made to enable individuals with disabilities to perform the essentials functionsProcess weekly Payroll & payments for payroll taxes, 401k contributionsProcess & distribute weekly certified payroll reports & monthly manning reportsReconcile all credit card transactions/statements, post all vendor invoicesReconcile vendor PO's & populate standard lien waivers for vendor signature and process lien waivers for paymentMonitor Invoices & follow up with project management regarding payable status changesCompile tax exemption forms (ST13) and provide to vendors as neededMaintain up to date vendor records: W9, Certificates of Insurance, Business RegistrationsContract job setup within accounting systemPrepare and deliver AIA Invoice (SOV)Post cash receipts of AR payments within accounting systemUpdate weekly payables/receivables on cashflow forecastCompile & distribute weekly union benefit reports to third party administratorCompetencies:Minimum of 3+ years of experience in accounting, payroll, accounts receivable (AR), and accounts payable (AP)Associate's degree in accounting, Finance, or a related field (Bachelor's preferred)Prior experience with Foundation Software is required; training will be provided to eligible applicantProficient in accounting software, spreadsheets, and databasesStrong attention to detail and accuracyExcellent organizational and time management skillsStrong written and verbal communication skillsAbility to handle confidential information with integrityAbility to prioritize projects and meet deadlinesKnowledge of accounting principles (GAAP), payroll, and financial reportingA valid notary license is required or must be obtained. (Fees associated with obtaining a notary license will be covered)SupervisoryThis position has no supervisory responsibilities.Work EnvironmentThis job operates in a professional office environment.
