Responsibilities include executive support and project coordination for several NA based GCT VP's and planning client events and activities for their Global Client Teams.\r\nThe ideal candidate for the Executive Assistant - Project Coordinator is experienced at:\r\n\r\n\r\nManaging multiple executive calendars in varying time zones\r\n\r\n\r\nCollaborating with client administrators and across internal departments, and organizations\r\n\r\n\r\nHigh-touch executive support\r\n\r\n\r\nHigh-level project coordination and end-to-end event planning\r\n\r\n\r\nProviding structured support for client meetings and executive engagements\r\n\r\n\r\nIdentifying challenges and acting proactively to find solutions\r\n\r\n\r\nExecutive Assistant Responsibilities\r\nSupport specific Global Client Vice-Presidents with:\r\n\r\nCalendar Management:\r\n\r\nManage complex global calendars across multiple time zones, schedule internal and external meetings, work proactively, and resolve issues and concerns in a timely manner. Provide day-ahead, week-ahead, and month-ahead visibility for leaders to ensure a smooth operating cadence across supported accounts.\r\n\r\nMeeting & Event Support:\r\n\r\nCoordinate internal leadership meetings, client quarterly business reviews, and executive client engagements. Preparation includes agenda compilation, information consolidation for pre-read documents, email sends of briefs and action items to team and high-level executives, and managing logistical (onsite support, conference rooms, catering, technical requests) asks for meetings.\r\n\r\nTravel & Expense:\r\n\r\nBook complicated regional and global travel according to scheduled client and team meetings. Purchasing card owner for administrative and event expenses for supported client teams. Prepare and submit VP expenses in a timely manner according to Visa policy.\r\n\r\nOrganization & Recordkeeping:\r\n\r\nMaintain team documentation, distribution lists, asset libraries, and message archives in accordance with records management requirements. Create and manage purchase orders and invoices.\r\n\r\nExecutive Liaison:\r\n\r\nServe as a trusted point of contact for Vice-President's, internal stakeholders, and external client partners.
