This role involves managing schedules, handling communication, preparing reports, preparing meeting decks, organizing meetings, and ensuring the efficient operation of the executive office.\nKey Responsibilities\nCalendar & Schedule Management:\nCoordinate and manage the executives' daily schedules, including meetings, appointments, and travel arrangements.\nEnsure the management team is prepared for meetings with materials, agendas, and relevant documents.\nCommunication & Correspondence:\nServe as the primary point of contact between executives, internal staff, and external partners.\nHandle incoming calls, emails, and other communications on behalf of executives.\nDraft and edit professional correspondence, presentations, and reports.\nMeeting & Event Coordination:\nOrganize and coordinate internal and external meetings, including team meetings, board meetings, and client presentations.\nPrepare agendas, take meeting minutes, and follow up on action items as needed.\nManage logistics for executive events, conferences, or offsite meetings.\nTravel Management:\nArrange domestic and international travel, including flights, accommodations, transportation, and itineraries.\nEnsure compliance with travel policies and manage travel-related expenses.\nDocument Management:\nOrganize and maintain confidential files and records, including legal documents, contracts, and executive reports.\nEnsure that documents are easily accessible and updated regularly.\nProject Management:\nAssist in the planning and execution of special projects assigned by the management team.\nCreate board deck presentation from management team input and company data\nTrack project timelines and ensure key deadlines are met.\nOffice & Resource Management:\nMaintain office supplies and manage executive office equipment needs.\nHandle expense reports, budget tracking, and reimbursements for the management team.\nConfidentiality:\nMaintain a high level of discretion and confidentiality in handling sensitive business and personal information.\nTeam Support:\nProvide backup administrative support to other executives or departments when needed.\nAssist in onboarding new management team members and executives by providing administrative setup and support.\nQualifications:\nProven experience as an Executive Assistant, Administrative Assistant, or similar role, preferably supporting senior management.\nExcellent organizational and time-management skills.\nProficiency in office software (e.g., Microsoft Office, Google Workspace).\nStrong communication and interpersonal skills.\nAbility to multitask and work under pressure in a fast-paced environment.\nHigh level of discretion, professionalism, and confidentiality.\nExperience with project management and event planning is a plus.\nCompany Overview:\nNutrition 101 LLC – headquartered in Pendleton, IN - is a leader in eco-friendly waste handling and innovative food lifecycle management solutions.
