Medical Receptionist
Job Summary
We are seeking a friendly, organized, and adaptable Receptionist to serve as the first point of contact for our home health agency. In this role, you will handle incoming calls, provide administrative support to our clinical and administrative teams, and assist with daily office operations. This position focuses primarily on phone communication, scheduling coordination, data entry, and supporting our field clinicians and staff. The ideal candidate is eager to learn our systems, thrives in a supportive team environment, and is comfortable adapting to new tasks and processes on the job.
Key Responsibilities
Answer and direct incoming phone calls in a professional, courteous, and timely manner; take detailed messages and route them to the appropriate staff member (e.g., clinicians, schedulers, billing, or management).
Greet and assist any occasional visitors, vendors, or staff entering the office with warmth and efficiency.
Provide general administrative support, including filing, faxing, scanning, copying, and mailing correspondence.
Assist with basic data entry and updates in our electronic medical record (EMR) system, Axxess, such as logging referrals, updating contact information, or attaching documents.
Help coordinate communication between office staff, field clinicians, and referral sources (e.g., hospitals, physicians' offices) via phone and email.
Maintain office supplies inventory, place orders as needed, and ensure the reception area and common spaces remain organized and presentable.
Handle incoming and outgoing mail, including sorting, distributing, and preparing items for clinicians or billing.
Support other administrative tasks as assigned, such as assisting with scheduling adjustments, following up on documentation, or preparing reports (training provided).
Maintain strict confidentiality of patient information and adhere to HIPAA regulations at all times.
Qualifications & Requirements
High school diploma or equivalent required; some college coursework or administrative certification is a plus.
Previous experience in a receptionist, administrative, or customer service role preferred (healthcare or home health experience is a bonus but not required).
Strong phone etiquette and excellent verbal/written communication skills.
Proficiency with Microsoft Office (Word, Excel) and comfort learning new software systems quickly.
Experience with EMR systems (especially Axxess) is highly desirable, but we will provide training for the right candidate.
Exceptional organizational skills, attention to detail, and ability to multitask in a busy environment.
Flexible attitude and strong willingness to learn on the job, adapt to changing priorities, and take initiative.
Ability to maintain a positive, professional demeanor under pressure.
Reliable, punctual, and able to maintain confidentiality with sensitive information.
Preferred Attributes
Prior exposure to home health, hospice, or healthcare administrative work.
Bilingual skills (English/Spanish)
Familiarity with medical terminology or insurance/referral processes.
Job Types: Full-time, Part-time
Pay: $12.00 - $15.00 per hour
Expected hours: 20 – 40 per week
