You will ensure the workplace is organized, well-stocked, and ready to support employees, leadership, and customers at all times, while managing non-production supplies and coordinating closely with property management and the Plant Manager.\nYou will also support senior leadership with coordination of meetings, travel, and customer engagements, requiring strong judgment, professionalism, and the ability to operate with discretion.\nSuccess in this role requires operating with urgency, ownership, and flexibility in a fast-paced, evolving environment with shifting priorities. You will manage multiple demands across facilities, leadership needs, and events—often with limited structure—while ensuring execution at a high standard.\nKey Responsibilities\nFacility & Workplace Operations\nOversee daily operations of two facilities, ensuring workplace readiness and operational efficiency\nMaintain office, warehouse, and shared spaces to be clean, safe, and fully stocked\nConduct regular walkthroughs to identify and resolve issues proactively\nPartner with the Plant Manager to coordinate repairs, preventative maintenance, and facility improvements\nPartner closely with property management and the Plant Manager on facility needs and priorities\nVendor & Cost Management\nManage vendor relationships (cleaning, maintenance, security, catering, etc.)\nNegotiate contracts, monitor performance, and control costs\nEnsure vendor quality, responsiveness, and reliability\nOffice & Administrative Operations\nManage non-production supplies, including office and cleaning materials\nOversee mailing, shipping, inventory tracking, and equipment upkeep\nHandle facility billing, invoice reconciliation, and basic budget tracking\nExecutive & Leadership Support\nSupport senior leadership with meeting coordination, scheduling, and logistics\nCoordinate travel, customer engagements, and leadership meetings with a high level of organization and professionalism\nEnsure leadership priorities, meetings, and visits are well-prepared and executed\nHandle sensitive information with discretion and maintain confidentiality\nBalance executive support needs with ongoing workplace operations\nCustomer, Training & Event Coordination\nOwn coordination and execution of customer visits, leadership meetings, and company events\nCoordinate logistics including scheduling, food ordering, setup, and cleanup\nPartner with cross-functional teams to ensure readiness across departments\nSupport coordination of training sessions, onboarding activities, and internal events\nEnsure all events, visits, and training sessions are executed professionally\nCommunication & Coordination\nCoordinate across teams to support workplace needs, leadership priorities, and operational alignment\nHands-On Execution\nTake a proactive, \"do what it takes\" approach to ensure operations run smoothly\nStep in to resolve immediate issues, including cleaning, setup, or coordination gaps\nPrioritize and make decisions on workplace and operational needs with minimal oversight\nWhat You Own\nOverall readiness and performance of both facilities\nVendor quality, responsiveness, and cost effectiveness\nWorkplace organization, safety, and supply management\nExecution of customer visits, leadership support, and internal events\nEfficiency and scalability of office operations and processes\nTimely resolution of operational and facility issues\nHow You'll Work\nFlexible: Adapt to shifting priorities and multiple demands\nDriven: Take ownership and follow through without constant direction\nAgile: Build and improve processes in a growing environment\nCollaborative: Work cross-functionally across departments and leadership\nAttentive: Anticipate needs and resolve issues before they escalate\nProfessional: Operate with discretion and represent the company well with leadership and customers\nRequirements\n5+ years of experience in office management, facilities, workplace operations, or executive support\nExperience supporting senior leadership or high-visibility environments preferred\nExperience in multi-site or fast-paced environments preferred\nStrong vendor management and coordination experience\nExcellent organizational, prioritization, and problem-solving skills\nAbility to manage multiple priorities with limited structure\nStrong communication skills and professional presence\nProficiency in Microsoft Office (Excel required);
