Secretary, Assistant Principal - Middle School

Clerical Support PositionPrimary Purpose: Under moderate supervision provide routine clerical support for the efficient operation of the professional staff office. Maintain current and accurate confidential student records. Perform data entry, including attendance and discipline for the Public Education Information Management System (PEIMS) data.QualificationsEducation/Certification: High school diploma or GEDSpecial Knowledge/Skills: Knowledge of general office proceduresProficient keyboarding and file maintenance skillsBasic math skillsAbility to use software to develop spreadsheets and databases, and do word processingAbility to follow verbal and written instructionsAbility to maintain accurate and auditable recordsAbility to perform a variety of tasks often changing assignment on short notice with some directionEffective organizational, communication, and interpersonal skillsExperience: Two (2) years secretarial experienceMajor Responsibilities and DutiesProvide general clerical support including word processing, data entry, filing, and file maintenance.Collect and enter attendance and discipline data for PEIMS following District policies, the TEA Student Attendance Accounting Handbook, and PEIMS Data Standards.Prepare and maintain physical and computerized records, including daily and six weeks student attendance, attendance back-up documentation, and discipline.Assist parents, students and faculty with questions regarding student attendance.Provide computer support to teaching staff and substitute teachers regarding attendance.Maintain student records for ISS, DAEP, and after school and lunch detentions.Receive incoming calls, take reliable and accurate messages, and route to appropriate staff.Assist staff with scheduling of meetings and appointments.Prepare instructional materials, meeting agendas, and campus communication as requested.Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence.Act as backup for other office personnel.Maintain confidentiality of all student, staff, and other District information.Maintain consistent punctuality and regular attendance.Maintain positive community relations by establishing positive rapport with students, parents, and public.Attend and participate in faculty meetings, staff development and serve on staff committees as required.Supervisory ResponsibilitiesNoneMental Demands/Physical Demands/Environmental FactorsTools/Equipment Used: Standard office equipment including personal computer and peripheralsPosture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twistingMotion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reachingLifting: Occasional light lifting and carrying (less than 15 pounds)Environment: May work prolonged or irregular hours; occasional district wide travel
