This role supports day-to-day community operations, vendor coordination, board and committee administration, financial tracking, and homeowner communications.\n\nJob Duties\nAdministrative & Operational Support:\nProvide day-to-day administrative support to the Community Manager across multiple associations.\nMaintain organized records including contracts, permits, insurance certificates, and governing documents.\nTrack tasks, deadlines, renewals, and follow-ups.\nComplete on-site property walks of all residential associations; (Each association must be reviewed daily during seasonal operation).\nIdentify and record exterior building maintenance concerns in associations via the POA’s property tracking software and help manage work associated with suggested projects.\nRespond to maintenance issues that may arise during the workday to assess and provide resolution.\nAssist in tracking various third-party inspections.\nLight maintenance work as needed (lightbulb changes, light snow shoveling, etc.).\nFinancial & Budget Support:\nAssist with preparation of operating and capital budgets.\nTrack invoices, assessments, and budget variances.\nCoordinate with accounting on AP/AR and reporting.\nVendor & Project Coordination:\nCollect and organize vendor proposals.\nTrack contracts, insurance, and compliance.\nAssist with scheduling and site coordination.\nSupport Architectural Review Committee application intake and tracking.\nBoard, Committee & Meeting Support:\nAssist with scheduling meetings and preparing agendas and packets.\nTake meeting notes and assist with minutes.\nTrack Board action items.\nCommunity & Homeowner Communications:\nRespond to routine homeowner inquiries.\nAssist with drafting notices, emails, and updates.\nWork within HOA software portal to update records, important documents, and homeowner communications.\nOther Duties:\nPerform all duties and responsibilities in a timely and efficient manner in accordance with established Club policies, procedures, and standards of service to achieve the overall objectives of this position.\nMeet departmental productivity, organization, punctuality/attendance and consistency standards.\nMaintain a positive and respectful attitude.\nTreat members, guests, vendors, customers and co-workers with professionalism and respect at all times.\nMaintain privacy of our members at all times.\nMaintain a clean and neat appearance at all times.\nCommunicate regularly and effectively with all employees, supervisors, managers and directors.\nPerform work in a safe and high-quality manner.\nPlease note this job description is not designed to cover or contain a comprehensive list of activities, duties or responsibilities that are required of the employee for this job. Please note that the CMCA requires a proctored exam.\nPhysical Demands\nWhile performing the duties of this job, the employee is required to frequently inspect associations within the residential portfolio and may be exposed to ongoing construction and various weather conditions. The noise level in the work environment may range from moderate to loud.\nWhile performing the duties of this job, the employee may be required to walk and stand for extended periods; must be able to stand and exert well-paced mobility for up to 6 hours in length. The position requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing. The employee is occasionally required to reach with hands and arms.
