You will be responsible for managing a variety of administrative tasks, providing support to the general manager and the larger team, ensuring that prescribed processes and procedures run smoothly. You will report directly to the Director of Administrative Support Services who will support and guide you to success in this role. Your organizational skills and attention to detail will be vital in maintaining our standards and driving desired organizational outcomes.\nBilling Administrator Responsibilities\nSupport the organizations accounts payable/purchasing process\nSupport the AP team with correct coding to ensure proper job costing and allocation of expenses.\nProvide new vendor documents to the A/P team prior to purchasing goods and/or services.\nCoordinate with vendor, suppliers, subcontractors in the exchange of needed information\nEnsure accurate job costing is captured with systems\nPreparing and reviewing month-end and monthly close material as directed by the DASS and General Manager\nAssist sales and Account Management team with preparing client proposals, contracts, and correspondence\nIn coordination with the Billing Specialist ensuring that all specific job costs are reflected correctly within ERP system and answer any questions the A/R team may have in a timely fashion to ensure accurate and speedy billing to our clients.\nOther responsibilities would include, but not limited to, office management, document & record keeping, team/vendor/client communication, and other tasks to support the team in general\n\nBilling Administrator Requirements\n2- or 4-year degree in business or a related field and/or a minimum of 3 years experience in a business office with accounting related responsibilities\nUnderstanding of standard accounts receivable concepts, practices, and procedures\nPrevious experience using an ERP system, Aspire preferred\nAdvanced MS Excel skills with demonstratable experience using analytical features including Pivot Tables & VLOOKUP functions\nExcellent communication skills both written and verbal\nStrong interpersonal and team working skills\nStrong math, analytical and problem-solving skills\nAbility to manage multiple projects concurrently\nAbility to meet time sensitive goals and achieve results in a dynamic work environment\n\nOutworx Group and its family of companies is an EEO/AA Employer.
