THIS POSITION IS IN-OFFICEJob SummaryThe Scheduling Coordinator is responsible for coordinating and maintaining caregiver schedules to ensure consistent and reliable care delivery for home healthcare clients. This in-office role manages scheduling for 50+ caregivers using WellSky, responds to daily scheduling changes, and supports agency operations through accurate reporting and effective communication. The Scheduling Coordinator will also participate in a shared on-call rotation by carrying the office on-call cellphone as assigned.Key ResponsibilitiesCreate, manage, and maintain daily and weekly schedules for 50+ caregivers using WellSkyAssign caregivers to client cases based on availability, skills, certifications, and care needsRespond promptly to caregiver call-offs, emergencies, and last-minute schedule changesCommunicate schedule updates clearly and professionally with caregivers via phone, text, and system notificationsEnsure appropriate staffing coverage to meet client care requirementsMonitor caregiver availability, time-off requests, and scheduling conflictsPrepare and distribute weekly scheduling reports for leadership reviewMaintain accurate and up-to-date scheduling records and documentation in WellSkyCollaborate with office staff and leadership to anticipate staffing needsAssist with caregiver on-boarding by supporting initial schedule placementParticipate in a rotating on-call schedule by carrying the shared office on-call cellphone as assignedMaintain confidentiality and professionalism when handling sensitive informationQualificationsHigh school diploma or equivalent requiredPrevious Scheduling Or Administrative Experience PreferredExperience in home healthcare or home care scheduling preferredStrong organizational and time-management skillsAbility to multitask and work effectively in a fast-paced environmentExcellent verbal communication and customer service skillsComfortable using scheduling software; WellSky experience preferredDetail-oriented with strong problem-solving abilitiesPreferred Skills & AttributesAbility to remain calm and solutions-focused during high-pressure situationsStrong interpersonal and communication skillsDependable, punctual, and team-orientedFlexibility and adaptability to changing schedules and staffing needsWork Environment & ScheduleIn-office positionFull-time role in a fast-paced home healthcare settingParticipation in a rotating on-call schedule required; on-call cellphone is shared among office staffOccasional overtime, early mornings, or weekends may be required based on coverage needs
