Position Overview Copiers Northwest is looking for a Department Supervisor to lead the day-to-day operations of our Supplies team. In this role, you will help keep customers running by overseeing orders for toner, ink, and other essential consumables. You will play an important role in leading a collaborative team, supporting customers, improving workflows, and working across departments to keep operations moving smoothly. Reporting to the Purchasing Manager, this role offers meaningful visibility, long-term growth, and a path toward a future Department Manager opportunity. Responsibilities Order Management and Customer SupportOversee daily workflows to ensure customer orders are processed accurately and on time.Support team performance against service goals, response times, and department KPIs.Serve as the escalation point for customer issues and complex service situations.Identify and implement improvements to workflow, communication, and efficiency.Monitor backorders, fulfillment updates, and provide ETA communications. Accounting and Billing SupportReconcile vendor invoices with purchase orders, including pricing, freight, and tracking details.Resolve freight claims, vendor discrepancies, and billing-related issues.Support billing processes tied to supplies orders and their relative contract. Purchasing and Vendor SupportSupport purchasing activities for supplies and consumables and sales pricing requests.Partner with vendors on product availability, order tracking, fulfillment, and sourcing needs.Provide backup support for purchasing tasks. Supervisory ResponsibilitiesProvide day-to-day leadership, coaching, and support for Supplies team members.Conduct 1:1s, training, and performance improvement conversations.Lead team communication, monitor workflow accountability, and support department planning.Partner with the Purchasing Manager on escalations, hiring support, and employee matters. Reporting and Data ManagementPrepare KPI reports and other operational reporting for leadership and internal teams.Maintain department data, including supply item records and customer attributes in E-Automate.Support inventory tracking, cost analysis, and workflow compliance. Department Projects and Operational SupportParticipate in process improvement initiatives and department projects.Collaborate across Service, Sales, Accounting, Warehouse, and Purchasing.Provide backup operational support and take on additional duties as needed.
