This role leads a team of Permit Coordinators, providing daily guidance, coaching, and accountability to meet key performance indicators (KPIs). The Supervisor also manages recruiting, onboarding, and professional development while building standardized processes, training materials, and cross-training programs to support operational excellence.\n\nThe position requires strong organizational and analytical skills to monitor permitting metrics, identify inefficiencies, and implement process improvements. Acting as a liaison between internal departments, regional leadership, and local jurisdictions, the Supervisor resolves permitting blockers, supports new product rollouts, and ensures seamless coordination across all permitting functions.\n\nDuties and Responsibilities\n\nTeam Leadership & Development\n\nSupervise and provide daily direction to Permit Coordinators across multiple branches.\nConduct stand-up meetings to review team priorities, performance, and blockers.\nOversee recruitment, interviewing, onboarding, and retention efforts to build a strong, engaged team.\nDevelop training guides, cross-training resources, and refresher training sessions to ensure consistency and quality.\nMentor staff to prepare them for advancement and future leadership roles.\n\nPermitting Operations\n\nEnsure timely and accurate submission of permit applications in compliance with jurisdictional and ICC code requirements.\nTrack permit status across all branches and jurisdictions, ensuring accuracy in reporting.\nResolve escalations, blockers, and conflicts with internal teams or external agencies.\nMaintain awareness of code updates and jurisdictional changes.\nPartner with internal departments (engineering, CAD, sales, service, branch leadership) to ensure projects move forward without permitting delays.\n\nProcess & Reporting\n\nEstablish and enforce standardized permitting procedures across all branches.\nDevelop, implement, and maintain Standard Operating Procedures (SOPs), Rules of Engagement (ROEs), and jurisdictional requirement sheets.\nMonitor and validate permitting metrics, list boxes, and data tracking tools to ensure accurate reporting.\nPrepare and present weekly, monthly, and annual reports to leadership, analyzing permitting trends and highlighting process improvements.\n\nCollaboration & Communication\n\nLead coordination meetings with engineering and CAD teams to address permitting gaps.\nParticipate in leadership calls to share permitting updates and report blockers.\nDevelop clear communication scripts and resources for interactions with customers, counties, and internal teams.\nSupport rollout of new products, processes, and initiatives across all permitting functions.\n\nCompliance & Administration\n\nMaintain accurate digital filing systems for permitting records, receipts, and compliance documents.\nProcess centralized permitting payments and maintain financial documentation.\nConduct branch visits to oversee team performance and ensure compliance with organizational standards.\nLead annual performance and merit reviews, submitting bonus documentation as needed.\nIt is an essential function of this job that the employee regularly and reliably reports to work on time each working day.\n\nQualifications\n\n2+ years of permitting, operations, or project coordination experience.\n2+ years spervisory or leadership experience preferred.\nStrong knowledge of permitting processes, ICC code, and jurisdictional requirements.\nProven ability to manage and coach teams to achieve measurable results.\nExcellent organizational, analytical, and communication skills.\nAbility to problem-solve, adapt to change, and manage competing priorities.\n\nWorking Conditions\n\nThe salary range for this role is $55,000- $70,000. Salary is based experience. The Centralized Permit Supervisor primarily works in an office or remote environment, using computers, phones, and permitting software to manage daily operations. The position requires regular communication with team members, internal departments, and external agencies across multiple states and jurisdictions. This role involves managing multiple priorities and deadlines in a fast-paced setting that demands attention to detail, organization, and effective time management.
